Summary:
Under the direction of the Shared Services Supervisor, the Billing & Time Entry Administrator will be responsible for processing day-to-day updates & transactions to support the broader Billing and Time Entry program, process billing and bi-weekly time entry submissions, prepare reports & reconciliations, and be a general knowledge resource and support for other departments of the Fort McKay Group of Companies.

This is a safety-sensitive position that requires completion of pre-employment/pre-access testing.

Key Focus:

  • Provide guidance and support regarding billing and time entry inquiries to site-based teams and employees of the Fort McKay Group of Companies.
  • Review and process day-to-day billing and time entry transactions including, but not limited to; pay rates, bill rates, position changes, special billing requests and special payment requests etc.
  • Investigate and correct any billing and time entry queries in a timely manner.
  • Review, and processing of site-based time entry submissions for bi-weekly pay runs.
  • Understand provincial and federal privacy laws, as it pertains to collection of personal information.
  • Awareness of current billing and time entry processes.
  • Prepare internal reports for use by payroll stakeholders.
  • Analyze and correct time entry errors and issues and ensure integrity of the Time Entry program.
  • Strict adherence to the policies and procedures of the Fort McKay Group, with a focus on Financial Controls and Human Resource Administration.
  • Maintain daily tracking spreadsheets for data collection.
  • Maintain daily billing templates for submittal to the client.
  • Complete daily and monthly reconciliations in a timely manner.
  • Train and understand the client’s invoice system.
  • Involvement and support of any general administrative activities within the Department.
  • Process New Hire setup in the Customer portal.
  • Process Overtime Requests.
  • Process the invoicing of labor, equipment and materials.
  • Collect and process signed LEMs daily.
  • Develop and maintain a good working relationship with the client and other team members.
  • Perform any related and/or additional duties as assigned.

Knowledge and Skill Requirements:

  • Grade 12 Diploma/ GED Required
  • Candidates with post-secondary education in Accounting or Business will be an asset.
  • 2-4 years of experience in billing, time entry, accounting, or related discipline.
  • Experience in a unionized time entry environment is an asset.
  • Valid Class 5 License (or equivalent) is required, along with a satisfactory 3-year Drivers Abstract.
  • Knowledge of MS Office, specifically Word, Excel, and Outlook are required.
  • Experience in SAP and/or Ceridian, Dayforce, HCM, Field Glass is considered an asset.
  • Good knowledge o billing principles and practices.
  • Effective communication and interpersonal skills, including good oral, written communication, and listening skills.
  • Strong customer service skills, with an ability to support internal and external clients.
  • Strong attention to detail with an exceptional level of accuracy.
  • Ability to work independently and multitask, as well as work effectively in a team environment.
  • Strong knowledge of Alberta Employment Standards
  • Familiarity with Service Canada processes and procedures.
  • Good analytical, problem solving, and critical thinking skills.
  • Demonstrates continuous learning through cross-training, learning new skills, and refreshing prior skills.
  • Must be legally eligible to work in Canada

This is a full time position located in Fort McMurray at FMGOC satellite office.

Work schedule: 7 days on, 7 days off; days only.

No camp/ flights.
