About the Role:

We’re looking for a lively, energetic Assistant Manager who thrives in fast-paced environments and lives for multitasking. You love working with children and teens, building community, and creating “Happy Dancing, High Fiving, I Did It!” moments for every swimmer.

As the Assistant Manager of Pedalheads Swim, you are a people leader who creates a positive and playful work environment while holding your team accountable. You bring a strong balance of operational excellence, mentorship, and customer care — ensuring every child and family feels supported, safe, and celebrated.

This is a full-time position. A typical work week for an Assistant Manager, Vancouver Swim would be evenings and weekends, during our peak operation times however this is subject to change with operational needs.

Business Operations

  • Support full-cycle operations, ensuring a welcoming, family-focused environment.
  • Oversee daily swim school logistics including pool setup, lesson flow, and end-of-day procedures.
  • Create and maintain weekly staffing schedules, ensuring adequate coverage and alignment with budget.
  • Track attendance, approve payroll, and manage shift coverage through ADP.
  • Conduct regular facility checks to ensure safety, cleanliness, and readiness.
  • Maintain accurate rosters, class lists, and registration documentation.
  • Monitor performance metrics such as enrollment, retention, and satisfaction, and provide recommendations for improvement.

Leadership

  • Provide hands-on leadership, direction, and mentorship to instructors and supervisors.
  • Support hiring, onboarding, and ongoing training of swim staff.
  • Lead by example in creating a positive, inclusive, and motivating work environment.
  • Conduct routine lesson observations, offering real-time coaching and recognition.
  • Hold short weekly team huddles and 1:1 check-ins to review goals and performance.
  • Support staff development through ongoing feedback, encouragement, and accountability.

Program Development

  • Stay informed on all program offerings, policies, and updates; ensure consistent communication with staff and families.
  • Maintain instructional quality by ensuring adherence to Pedalheads’ curriculum and teaching methods.
  • Support swimmer assessments, level placements, and session transitions.
  • Collaborate with the Swim Manager to identify growth opportunities and implement new programming or community outreach initiatives.
  • Assist in preparing seasonal schedules, training sessions, and end-of-session reports.

Customer Service

  • Act as a visible, approachable presence on the pool deck and at the front desk.
  • Greet families warmly, support registration inquiries, and manage swimmer placements.
  • Respond to parent feedback and concerns with empathy and professionalism, ensuring timely resolution.
  • Identify and resolve potential issues before they escalate.
  • Monitor and analyze customer satisfaction data, implementing action plans for improvement.
  • Contribute to an environment where every family feels welcome, informed, and valued.

Qualifications

Required:

  • Minimum 1 year in a supervisory or leadership role in operations, recreation, or youth programming.
  • Minimum 2 years in customer service or client relations.
  • Strong computer proficiency, including Microsoft Excel or similar tools.
  • Must hold an Aquatic Certification or be willing to obtain Swim Instructor (SWI) certification within 3 months.

Assets:

  • Degree or diploma in business, operations, management, or recreation.

  • Experience in children’s programming, hospitality, or the recreation industry.

  • Experience with ADP Workforce Now or other scheduling/payroll systems.

  • Experience delivering training sessions for youth (ages 17–24).

  • Familiarity with CRM systems and/or sales or outreach experience.

PAY AND PERKS

The successful candidate will be paid an annual salary of $52,000 to $56,000, commensurate with experience, based on a 40-hour work week. This position is based out of our Richmond pool (River Club).
