Northern Medical Program

Reporting to the Student Affairs and Admissions Supervisor and working closely with the University of British Columbia(UBC) Faculty of Medicine’s Admissions Office and Student Affairs Office, the Rural and Northern Student Initiatives Coordinator will support the recruitment and evaluation of applicants to the Doctor of Medicine (MD) Undergraduate Program through the unique admissions process developed for the Northern Medical Program. In addition, this position will provide student support by developing, coordinating, and managing new systems/opportunities to support students in the area of student affairs.
Responsibilities
Duties include but are not limited to:
- Supporting the Faculty of Medicine recruitment and selection policies for Northern and Rural Pathway applicants, with a focus on identifying, engaging, and supporting prospective students from northern or rural communities;
- Interpreting and applying knowledge and understanding of the Admissions and NMP Program requirements and policies, acting as the first point of contact and source of information for applicants, the general public and health professionals;
- Providing clear, accurate information to applicants in a variety of written and verbal formats, being knowledgeable about application requirements, prerequisite requirements, residency issues, and all other complex admissions policies and procedures;
- Collaborating with the Admissions team to develop and implement targeted recruitment strategies, including summer workshops, outreach initiatives and community-based engagement activities;
- Developing and executing an annual recruitment and outreach work plan in collaboration with the NMP Students Affairs Admission Supervisor and other coordinators, in the recruitment of prospective applicants for the Northern and Rural Pathway from communities across Northern BC;
- Building and sustaining meaningful relationships with communities, health authority and regional contacts across Northern BC to support the identification, engagement and recruitment of prospective students;
- Assisting the UBC MD Undergraduate Admissions office with the Interview Weekends portion of the Admissions process;
- Being a part of the organization and coordination of ongoing programs and projects for students in all four years at the NMP, including recruitment of preceptors and volunteers;
- Collaborating with UBC Student Affairs Coordinators to develop structures that encourage liaisons among Northern Medical Program/Island Medical Program/Southern Medical Program/Vancouver Fraser Medical Program student affairs and services to ensure equitable access of support to students;
- Supporting day-to-day administrative operations of the program, contributing to efficient workflow, consistent documentation practices, and responsive communication with students, faculty and staff; and
- Performing other related duties as assigned to support the effective functioning of the Northern and Rural Initiatives portfolio.
Qualifications
The successful candidate will possess an undergraduate degree together with a minimum of three years of directly related experience, preferably in a post-secondary institution. You will have a demonstrated ability to relate to and work with people at a wide range of professional and educational levels as well as strong initiative and the ability to work independently to problem-solve.
A solid background in administrative procedures and practices is necessary, along with a high level of proficiency with word processing, spreadsheet, database and email/calendar software. Working knowledge of relational databases and related interfaces is an asset.
This position requires knowledge and understanding of University administrative structures, policies and procedures, medical education with the ability to interpret policies and procedures and apply them fairly and consistently. A basic level of competence in the area of collection and analysis of statistics is beneficial.
Excellent time management and organizational skills are necessary, with the ability to problem solve, plan, prioritize and self-direct with a high degree of accuracy. It is important to work independently and demonstrate initiative; excellent written and oral communications skills are critical, with the ability to work collaboratively with faculty, staff, and students with exceptional interpersonal skills. This position requires a high level of professionalism and ability to network, interact and provide assistance to a wide range of constituents, often with limited time and flexibility.
Demonstrated experience in recruitment and outreach, especially working with rural, remote or underserved communities, is an asset. The successful candidate will be required to complete a satisfactory Criminal Record Check and hold a valid Class 5 BC Driver’s License as well as have the ability to spend several weeks up to six (6) in each of the fall and winter semesters, travelling.
Salary
This position has been classified at a Grade 10. The annual slary range for this position is $74,019.40 to $77,058.80 and the normal starting salary will be $74,019.40.
