Executive Assistant
About the role
The Opportunity
This role is an exceptional opportunity for an energetic and self-motivated individual with three (3) – five (5) years of related experience in a busy office setting. Supporting the operations and sales team of Chartwell Retirement Residences, the successful candidate will bring their excellent organizational and service skills to the forefront. This position requires full-time flexible hours.
Key Activities
- Maintain calendars
- Organize and schedule meetings/appointments and the bookings of rooms
- Prepare materials for VP’s review prior to scheduled meetings
- Organize & attend scheduled meetings, prepare relevant print materials
- Arrange for catering and meeting set up.
- Make travel arrangements
- Special projects and event planning as assigned
- Liaise with other departments as required working closely with the corporate support team
- Prepare monthly expense accounts
- Coordinate regional manager’s expense report for VP approval
- Process invoices for payment and provide any necessary follow up on payment details
- Review capital purchase orders to verify details prior to VP approval
- Set up and maintain contacts lists and groups in Google mail
- Create power point presentations
- Set up and maintenance of paper and electronic files
- Prepare documentation for mail, fax, e-mail, or courier
- Assist VPs with correspondence and calls and prioritize support with a strong customer service focus
Qualifications

A post-secondary degree or diploma in a related field;

Proficient in MS Office, with working knowledge of Excel, Word and Power Point Programs;

Familiar with Google Suites

Basic knowledge of accounting;

Self-starter with the ability to juggle multiple schedules;
-
Ability to multi-task and prioritize multiple deadlines;
-
Organize and expedite work flow;
-
Ability to work in a fast paced environment and able to adapt to change;

Excellent communication skills in both their verbal & written exchanges;
-
Strong attention to detail, good decision-making abilities

Composed attitude while working, with minimal supervision, on multiple tasks;

Seniors industry experience is an asset.
