Ensure City fleet’s compliance with the Canada Motor Vehicle Safety Standards (CMVSS) by working with various operations including the coordinating and completion of required maintenance. Assist engineering and design work by administering project documentation in accordance with EGBC Quality Management practices. Provide coverage for critical duties/responsibilities for other EA Ops Support staff as required.   The successful candidate will report to the Senior Mechanical Engineer in the Maintenance and Engineering Support Team. You will frequently interact with a wide range of internal City of Vancouver employees and external clients.   The work hours will be from 6:30 AM to 3:30 PM, Monday to Friday.   Specific Duties & Responsibilities

Enter, update and verify specialized asset technical and financial information in the Fleet Information Management System (FIMS) for procurement, commissioning, maintenance, modifications and decommissioning Create and update comprehensive Preventative Maintenance Programs (PMP) for fleet and equipment assets Administer the submission, amendments and approvals documentation to/from the Ministry of Transport for the City’s approved PMP Coordinate with contractors and customers to ensure timely inspection, maintenance, modification and documentation of fleet and equipment assets Gather and administer in-house and contractor inspection and certification documentation for NSC fleet and safety critical equipment in accordance with applicable regulations Monitor external maintenance and repair services providers, prepare purchase orders, review invoices, ensure related costs are within estimates and authorize payments Update and track work order costs and progress Gather authorizations and requirements from customers and prepare procurement documents for temporary rental/lease of fleet and equipment assets Inspect received equipment and technical documents to ensure conformity with contract requirements Communicate with vendors and operations customers and assist with interpretation of contracts to ensure that equipment and vendor performance meets customer requirements Generate a variety of operational, financial and status reports as required Prepare engineering, design and project documents in accordance with quality management system (QMS) practices Analysis of component failure/repair history and capital recoveries and assist with the development of recommendations for replacement/refit and maintenance optimization Assist with continuous improvement and development of practices and procedures for the FMS branch Assist with development of fleet/equipment cost benefits/impacts for solutions that reduce GHG emissions & environmental pollutants/toxins Provide coverage for critical duties/responsibilities for other EA Ops Support staff as required Provide excellent customer service face-to-face or over the phone and answer questions pertinent to the fleet, equipment, PMP, NSC, CVIP and CMVSS requirements Train, coach and mentor staff in the use of City software packages such as the FIMS and document sharing systems Perform other related duties/responsibilities as assigned

    Qualifications Education and Experience:

Completion of diploma program in Engineering Technology plus sound related experience or an equivalent combination of training and experience Automotive/Truck/Equipment Mechanic experience considered an asset Related customer service experience, or an equivalent combination of education and experience Good working knowledge of Fleet Information Management Systems Experience working in a mixed municipal fleet environment Thorough working knowledge of the National Safety Code and Commercial Vehicle Inspection Program Good working knowledge of Excel, Word and MS Access; Content Manager (VanDocs)

   Knowledge, Skills and Abilities:

Considerable knowledge of departmental functions, operations, procedures, regulations and policies applicable to the work performed Sound knowledge of recordkeeping and cost control practices and procedures as related to the work performed Sound knowledge of the computer applications and procedures as related to the work performed Ability to prepare and maintain preventive maintenance schedules based on historical data, manufacturers’ recommendations, or new technologies Ability to examine a piece of equipment or vehicle and determine systems and accessories that would need preventive maintenance Ability to collect, organize and analyze operational data and to review and analyze technologies, procedures and practices and prepare cost benefit scenarios for same as required Ability to prepare and maintain a variety of manual and computer reports, records, files and correspondence related to the work Ability to monitor the vehicle maintenance and repair services of external suppliers and monitor the related costs Ability to establish and maintain effective working relationships with a variety of internal and external contacts Ability to read and understand drawings related to the work and to collect field information as required Ability to monitor and review invoices and authorize payment
