Admission Coordinator

The Leo Baeck Day School is currently seeking an outgoing, relationship-driven and highly organized individual to fill the role of Admission Coordinator. In partnership with the Director of Admission, the Admission Coordinator supports prospective families from their first point of contact with the school through to enrolment and entry. Managing the office workflow, providing exceptional support for prospective families and creating opportunities to showcase the school are the key elements of this position. The Admission Coordinator plays an important role in sharing the school’s mission and vision.

Principal Responsibilities:

  • Maintaining and managing Admission processes and information

  • Management of the Admission Office platform - OpenApply (data entry, updating family information, list management, application and re-enrolment support)

  • Fielding and returning phone calls, replying to email and website inquiries

  • Supporting prospective families from inquiry to enrolment, and through transition into the school.

  • Admission Office data collection and tracking

  • Organizing outreach and community programming - monthly programs and support for the Little Leos Program

  • Creating and supporting relationships with partner organizations

  • Managing the New Families Mentorship Program

  • Participation in the Parent Ambassador Committee

  • Working in collaboration with the Institutional Advancement team (marketing & communications) and the school’s academic team.

Required Qualifications:

  • Bachelor's degree or equivalent education and work experience required
  • 2-5 years of experience working in an administrative role
  • Knowledge and proficiency with Google Suite
  • Comfort in a Mac-based environment
  • Knowledge of Canva
  • Knowledge of Mail Chimp and OpenApply (an asset)

The ideal candidate will:

  • Have previous experience working in education, recruitment, public administration or a closely related field
  • Be relationship-driven
  • Have advanced communication (written and oral) and customer relations skills
  • Demonstrate tact, diplomacy and patience

  • Have the ability to work in a fast-paced environment
  • Work independently and in collaboration with other school stakeholders
  • Demonstrate organizational and time management skills, including the ability to effectively manage multiple priorities and deadlines
  • Be detail-oriented
  • Have a growth mindset of continuous improvement and learning
