About the role

The Opportunity

Keyano College’s Global Access Department is currently seeking a Program Support Administrator, LINC (Term) to join our dynamic team.

LINC is an English language training and settlement program funded by Immigration, Refugees and Citizenship Canada (www.cic.gc.ca) that is offered at Keyano College. LINC classes are designed to assist with cultural, social and economic understanding to help newcomers settle more quickly and easily into Canadian society.

The Program Support Administrator, LINC provides customer service to current and potential students seeking Global Access programming at Keyano College and provides administrative support to the Global Access team. This role reports to the Associate Dean, Academic Upgrading and Global Access. The LINC Administrative Assistant is part of the LINC team, is responsible for providing a positive student experience and supporting the program through:

  1. General Administrative Program Support
  2. Student Intake Processing and Waitlist Management
  3. Strategic Enrollment and Supports

This Term role starts as soon as possible and will end on or before September 18, 2026.

Note: this is not a remote or hybrid work opportunity, you will be required to work on campus and relocate to Fort McMurray, AB.

Duties & Responsibilities

The successful candidate will be required to:

  • Respond to inquiries about the LINC and Global Access program in a timely, professional and informed manner
  • Ensure proper file management procedures are followed
  • Ensure and maintain confidentiality of records and information
  • Proficiently use all software programs utilized in the day-to-day operations of the LINC program (ex: PowerCampus, MS Office Suite, iCARE, Connect, and client management systems).
  • Implement College policies and procedures used to interact with other College departments
  • Utilize current LINC program operational tools and procedures.
  • Monitor, track and summarize all student inquiries and identified gaps
  • Prepare meeting agendas for LINC admin team meetings, attend meetings, record, transcribe and distribute minutes as required.
  • Liaise with LINC administrative team, faculty, Associate Dean and other departments within the College to resolve issues and standardize processes.
  • Work closely with the LINC administrative team to provide professional quality customer service and program delivery to LINC students.
  • Responsible for initial student intake processing such as: initial contact, application, language assessment scheduling, and record keeping.
  • Create and maintain waitlists for LINC levels in College registration system and government client tracking system.
  • Initiate Call for Registration via email for monthly course intake. Follow up with students with emails and/or phone calls as needed.
  • Perform data entry into admissions database, including entry of new student intakes, tracking of application documents, enrollment documents, etc.
  • Other administrative support for the Associate Dean, Global Access team and/or instructors and related duties as requested.

Qualifications

  • Office Administration Diploma or Business Administration Diploma with a minimum of 1 year experience working in a busy office setting in a post-secondary institution.

  • Dedication to excellent customer service.

  • Proven ability to connect quickly and communicate clearly and respectfully with clients from various cultural, religious, ethnic, educational and socioeconomic backgrounds.

  • Proven ability to work collaboratively in a pro-active manner within a high-performance team environment.

  • Proven ability to track and analyze data and create reports

  • Must demonstrate excellent organizational skills, multi-tasking and prioritizing.

  • Highly proficient MS Office skills are required for this position.

  • Knowledge of English as an Additional Language programming and the settlement sector would be an asset.

  • Proficiency in multiple languages would be an asset.

Please note that if your education was received internationally, upon hire we will require you to provide an international education assessment completed through WES, IQAS or one of the other IRCC approved designated organization.

Compensation and Benefits

  • Compensation is $4,466.82 per month (CUPE AS4) with the following health and benefit package.

  • Employer paid comprehensive health and dental benefits, including a health spending account.

  • This position qualifies for additional payment of the Northern Living Allowance of $1,040.00 per month.

  • Generous vacation entitlement and the bonus of paid holidays between Christmas and New Years

  • Life insurance is 2.5 times your annual salary
