The Role We’re looking for a detail-oriented, proactive Administrative Coordinator to manage billing, accounts receivable, attendance tracking, and contract support. If you’re organized, tech-savvy, and excited about supporting a mission-driven therapy practice, we’d love to hear from you!
You’ll play a key part in keeping Mud Club’s systems efficient and reliable. From ensuring families are billed accurately to supporting school contract invoicing, your work will directly support access to our programs and help the team stay focused on delivering therapy.
What You’ll Do
- Billing & Accounts Receivable: Generate invoices, track payments, and follow up on outstanding balances
- Attendance Management: Reconcile session attendance with billing and adjust for cancellations, pauses, or make-ups
- School Contracts: Track and process invoicing for partner schools and ensure alignment with service delivery
- Membership Support: Record membership changes (pauses, cancellations, discharges) and adjust billing accordingly
- Communication: Liaise with families and schools regarding billing questions and documentation needs
- Collaboration: Work closely with OTs, OTAs, and the leadership team to ensure records and processes are up to date
What We’re Looking For
- Previous experience in billing, accounts receivable, or administrative coordination
- Comfort with online tools (Microsoft 365, Excel, Jane, or similar platforms)
- Strong attention to detail, accuracy, and organizational skills
- Professional communication with families, schools, and team members
- Experience in healthcare, therapy practices, or education environments is an asset
Bonus Points If You
- Knowledge about provincial funding programs such as AFU and OAP
- Excel at data management and spreadsheet reporting
- Communicate clearly and kindly with families and staff
