The National Police Federation is currently hiring a Bilingual Member Representation Coordinator for a 14 month term to join our team.
Overview of the Role: The Member Representation Coordinator supports the key functions of the Member Representation department by managing and organizing critical resources and providing administrative support to the department as a whole. Under the Director, Member Representation, the Coordinator plays a key part in enhancing operational efficiency and contributes to a streamlined and collaborative work environment across departments.
Reporting to: Director of Member Representation
Location: Remote.

Key Responsibilities:
Departmental support
- Manage and coordinate electronic files, including establishing naming conventions, organizing data, and eliminating duplication to maintain streamlined records.
- Review, update, and maintain SOPs to ensure accuracy, compliance, and alignment with current practices.
- Development and maintenance of templates used in the conduct submission.
- Complete all delegated activities in the time provided
Provide administrative support to the Director of Member Representation
- Develop and maintain accurate reports and budget documents to support financial planning and organizational goals.
- Participate in meetings to take detailed notes, track follow-ups, and ensure timely completion of assigned action items.
- Provide administrative and operational support to Member Representation managers, assisting with various tasks as needed.
Support department specific development
- Plan and organize virtual and in-person departmental events, managing all logistics including scheduling, venue arrangements, materials preparation, and technical setup to ensure a smooth and effective experience.
- Actively participate in committees focused on evaluating and enhancing the electronic records management platform functionality, providing insights and feedback to drive continuous improvement.
- Ensure all resources in the Labour Relations SharePoint are well-organized, current, and easily accessible. Contribute to the upkeep and organization of the Member Representation Centre SharePoint as needed.
Qualifications:
- College Diploma in Business Management-related field or equivalent experience.
- Minimum 2 years' administration experience.
- Experience organizing events, conferences, and meetings is preferred.
- Experience in records management, filing systems, and reporting.
- Bilingualism is required.
- Knowledge of project coordination and program management is helpful in order to meet deadlines for deliverables inside and outside of the department.
- Knowledge of customer/member service standards for effectively representing the NPF and its products/programs for the membership and its outside partners.
- Knowledge of office procedures and event planning to support training and other staff related events and needs.
- Highly proficient with Microsoft Office productivity tools, specifically Excel.
- Ability to develop presentation materials.
- Strong organizational skills.
- Strong writing skills.
- Strong communication skills.
- Ability to adapt to changing situations, new ideas and concepts.
- Sound judgement and tact.
- High level of attention to detail to edit and create materials and work that can be used internally and externally adhering to NPF standards.
- Basic problem-solving capabilities.
- Strong ability to multi-task; take the initiative; be proactive; flexible.
- Ability to communicate with a diverse workforce and facilitate successful performance in a team-based environment.
- Ability to work independently.
- Capable of quickly mastering new systems and tools, with a strong ability to integrate and work efficiently across multiple technology platforms.
- Ability to travel overnight 4-6/year.
- Must reside within the National Capital Region as is a hybrid role.
- Ability to pass a pre-employment enhanced criminal record check.
Compensation & Other Important Information:
The starting base salary, depending on qualifications/experience, for this position is between $59,987.20 - $69,985.41 range.
While some travel is required for this role, our remote work model includes flexibility in completing work hours and a philosophy in promoting a positive work-life balance.
