About the role

The Dean's Office in the School of Architecture, Planning & Landscape is currently seeking a Full-time Limited Term Student Engagement and Outreach Coordinator for approximately 18 months.

Reporting to the Operations Manager, this position is responsible for supporting student engagement, wellbeing and overall success as part of the School of Architecture, Planning and Landscape (SAPL) team. Workload will fluctuate based on seasonal demands and other priorities. This position is based at the SAPL downtown campus, though regular travel to the main campus, programs, and events may be required. It is a full-time role, working 35 hours per week, Monday to Friday, with flexibility for evening and weekend commitments, as needed.

Summary of Key Responsibilities (job functions include but are not limited to):

Engagement, Outreach, and Programming

  • Provide non-academic advising support focused on student engagement, wellness, and overall satisfaction, and liaise with both undergraduate and graduate advising teams to ensure a holistic and coordinated approach to student support across SAPL.
  • Identify trends, gaps, and emerging needs in student engagement and support by collaborating with SAPL Dean, Associate Deans and advising teams.
  • Work with SAPL to evaluate critical student support requirements and recommend solutions, including drawing on Central university resources or establishing downtown-based access points for student-facing services. Facilitate cross-unit collaboration between SAPL and central student services to streamline access and minimize barriers to student supports.
  • Contribute to the development of proactive initiatives that strengthen the student experience outside of the academic advising model, ensuring continuity between academic and non-academic supports.
  • Coordinate and oversee wellness and recreation services events and engagement activities.
  • Act as the primary contact for Student & Recreation Services special events and campus initiatives.
  • Coordinate with SAPL representatives from the Student Union and Graduate Students Association.
  • Collaborate with campus partners to integrate Wellness and Recreation Services into student engagement efforts.
  • Develop and execute comprehensive plans to promote programs and services.
  • Work with Faculty community members to create content for SAPL student information - newsletters, social media platforms, websites, and digital/print signage, ensuring adherence to university branding standards.
  • Manage social media strategies, campaigns, and analytics to optimize engagement and ROI.
  • Coordinate targeted outreach campaigns using relevant social media platforms, email and lead generation follow-ups.
  • Plan for and manage staffing and volunteers for campus events.
  • Manage budgets and inventory for promotional items, uniforms, and materials.

Planning, Development and Administration

  • Develop, execute, and analyze annual plans aligned with org evaluate student staff and volunteers as required.
  • Lead training programs focused on professional growth, leadership, and skill development.
  • Empower student staff to manage projects and execute events (e.g., Student Recruitment, Orientation).
  • Maintain accurate records, including certifications, evaluations, and payroll submissions.
  • Conduct regular staff meetings, one-on-one check-ins, and annual performance reviews.
  • Organize staff appreciation events and other engagement initiatives.

Other Duties

  • Ensure all activities comply with university policies, procedures, and labor laws.
  • Perform additional duties as assigned to support SAPL.

Qualifications / Requirements:

  • Must hold a post-secondary degree.
  • A minimum of five years of experience with a focus on program administration is required.
  • Demonstrated professional experience in supporting students with non-academic advising around student engagement, wellness, and overall satisfaction.
  • Previous experience in a programming involving scheduling, program planning, communications and promotion.
  • Five years demonstrated experience with the training and supervision of staff and volunteers.
  • Previous experience forecasting, budgeting, and reporting is an asset.
  • First Aid/CPR certification is an asset.
