Job Summary Windsor Salt is seeking to fill a Clerical Utility Relief position. The incumbent will provide clerical support at two different Windsor Salt facilities in Windsor, Ontario. This position is a permanent part-time position with varied hours . Responsibilities include covering vacancies in a variety of clerical classifications.

  • Please note that candidates will be required to successfully complete a background check and medical/audio exam upon offer acceptance. Windsor Salt is a unionized facility (Unifor Local 240); successful candidates will be required to join the union upon commencement of employment. The starting wage for this role is $37.46 per hour; increases are in accordance with the CBA.

Duties And Responsibilities

Payroll:

  • Utilize UKG to verify the accuracy of time entered
  • Check for errors/omissions and summarize daily reports and review approvals
  • Accurately complete payroll summary, other reports, and print pay stubs, if requested
  • Accurately maintain payroll ledger
  • Balance weekly and month-end payroll distribution
  • Accurately prepare weekly, monthly and yearly payroll reports
  • Maintain probationary hours, prepare union billings and collect monthly union dues from employees
  • Track Unifor education training hours, etc.
  • Reconcile and maintain employee payroll deduction plans
  • Reconcile and maintain employee Y.T.D. earnings and deductions through to the preparation of T4s
  • Maintain accurate vacation records for all hourly employees
  • Maintain accurate disability wage records for all hourly employees
  • Maintain strict confidentiality with all payroll records

Laboratory:

  • Perform chemical analyses of salt and process samples using knowledge of safe chemical handling and reliable analytical techniques
  • Use laboratory equipment, including balances, spectrophotometers, hardness tester, sieve shakers, fume hoods, colorimeters, titrations, filtrations
  • Possess knowledge of quality control and basic statistical knowledge (calculating averages, standard deviations, trending)
  • Obtain sampling in the plant using knowledge of process equipment and equipment control panels
  • Measure plant ingredient feed rates and adjust these feeders as necessary to maintain rates within control limits
  • Set up plant process equipment for use by production, within control limits
  • Follow-up and troubleshoot when QC results are outside of control limits – resampling, adjusting feeders, understanding of production processes

Shipping/Receiving/Customer Service:

  • Communicate with customers, sales offices, customs brokers, carriers, credit department, copackers, etc. via phone, fax, and e-mail
  • Input, retrieve, verify and ship report orders for bulk, highway, and package salt, and schedule deliveries with assigned carriers
  • Input orders, generate and distribute reports, coordinate and process export salt orders
  • Prepare customs invoices for processing by customs broker for all export orders
  • Communicate with customs broker the details of shipments or processing of documents for U.S. Customs Border Protection requirements
  • Enter (domestic), or request (export), orders for vessel shipments, and prepare B/L and customs documents
  • Arrange carriers for miscellaneous shipments and prepare documentation as required
  • File all documentation generated from order entry, billing and inventory processing
  • Perform, reconcile, and prepare screens for actual counts of finished goods
  • Verify inventory availability versus product orders for carrier scheduling and production requirements
  • Serve as local point of contact for customer service related questions/issues
  • Work closely with plant production and loading personnel to ensure all modes of transportation work within the daily product availability constraints and loading capacities while also manage detention/demurrage charges
  • Develop and prepare reports to track various key performance indicators relative to plant loading times/plant freight variances, etc.

Stores/Distribution:

  • Deliver all of the days Stores Requisitions for approval for that day’s work
  • Complete withdrawals of all Stores Requisitions in the purchasing system for the previous day’s work
  • Handle packaged material and ingredients information and files
  • Prepare reports, conduct physical counts of packaged material, ingredients and supplies
  • Prepare work orders for repairable spare parts and monitor returns
  • Maintain general stores manual, and reconcile spare parts and general stores to ledger
  • Perform month-end inventory procedures and preparation of related reports
  • Check actual perpetual inventory count sheets
  • Purchase general stores and spare parts material and assist in direct charge ordering as required
  • Post requisitions and maintain inventories for packaged materials and other supplies

Knowledge, Skills And Abilities

  • Minimum high school diploma or equivalent education is required
  • Post secondary business or laboratory diploma/degree is strongly preferred
  • Grade 12 or equivalent chemistry course and/or payroll experience are strongly preferred
  • Typing skills at a minimum of 50 w.p.m. (a typing test may be required)
  • Working knowledge of Microsoft Office
  • Knowledge of SAP and/or UKG software is considered an asset
  • Excellent communication skills and a self starter

Work Environment Work is performed primarily in an indoor office or laboratory environment and may involve sitting, standing, lifting up to 20 kg, and performing tasks requiring manual dexterity.
