Together, Transcend Specialized Dentistry, BC Dental Study Club, and Transcend Lab are redefining patient care, advancing dental education, and building a global professional community.

We are hiring a proactive and trusted Executive Assistant to work directly with Dr. Edher. This is a unique opportunity to become the right hand to a leader with a busy clinical schedule, multiple businesses, and an international speaking career.

The Role As Executive Assistant, you will work directly with Dr. Edher to manage his schedule and communications, prepare him for meetings and travel, and ensure key projects move forward across his businesses and education initiatives. You’ll serve as his gatekeeper, filtering requests and protecting his time, while also acting as a central point of coordination with his team at clinic, study club, lab, and external partners. The role is full-time and based in Vancouver, primarily in-person.

Key Responsibilities Calendar & Scheduling

  • Manage a dynamic calendar and complex schedule with precision.
  • Arrange meetings, calls, and events to ensure the day flows efficiently.
  • Prioritize time — decide which meetings are worth attending and reschedule/decline when necessary.
  • Anticipate needs: coordinate travel time, prep breaks, manage multiple time zones.

Communication Management

  • Monitor and organize incoming emails; flag urgent matters; draft responses.
  • Act as a gatekeeper: filter requests, protect priorities, and buffer access.
  • Prepare documents, reports, presentations, and correspondence.

Meeting Preparation

  • Gather agendas and materials in advance of meetings.
  • Attend meetings as needed to take notes or capture decisions.
  • Track action items and ensure follow-through.

Travel Coordination

  • Book flights, hotels, and transport; create detailed itineraries with contingencies.
  • Troubleshoot and rearrange plans quickly when delays or changes occur.

Project & Strategic Support

  • Track ongoing projects, deadlines, and deliverables so nothing falls through the cracks.
  • Conduct research and prepare summaries to support decision-making.
  • Coordinate across teams and external partners to keep initiatives on track.
  • Provide context and insights to help Dr. Edher weigh options effectively.

Confidential & Professional Representation

  • Handle sensitive HR, financial, and legal documents with absolute discretion.
  • Represent Dr. Edher professionally with colleagues, partners, and the public.

Support & Flexibility

  • Be proactive: anticipate needs, identify improvements, and take initiative without waiting for direction.
  • Willing to take on a variety of tasks — from high-level coordination to smaller details — that ultimately protect Dr. Edher’s time and make his days smoother.
  • Occasionally support personal needs (appointments, travel, or events) if required.

About You

  • 3–5+ years of experience as an Executive Assistant or in a comparable role supporting a senior executive, business owner, or organizational leader.

  • Proven ability to manage complex schedules, communications, and projects with minimal oversight.

  • Highly organized and detail-oriented — able to create clarity and structure out of complexity.

  • Naturally proactive — always two steps ahead, comfortable taking ownership.

  • Trustworthy and discreet — confidentiality is non-negotiable.

  • You genuinely care about your work, the people you support, and the success of the organization.

  • Highly tech-savvy:

  • Proficient with Google Workspace (Docs, Sheets, Drive, Calendar) and presentation tools (Keynote or PowerPoint).

  • Comfortable with project/task management platforms (e.g., Asana, Trello, Notion, Monday.com).

  • Strong written communication skills — able to draft professional emails, documents, and presentations.

  • Experience with AI productivity tools (e.g., ChatGPT, Claude, Otter.ai) is a plus, with an eagerness to learn and adopt new technologies expected.

  • Professional presence in all interactions — reflecting Transcend’s premium, elevated brand.

  • Open to occasional travel (optional).

Compensation & Structure

  • Full-time role, based in Vancouver, BC
  • Salary range: $75,000 – $98,000 annual compensation package, commensurate with experience.
