Under the supervision of the Controller, the Senior Accounting Technician contributes to the management of the hotel accounting system and accounts payable. They support the Controller in various accounting-related tasks.
Key Duties And Responsibilities
- Review daily revenues prepared by the night auditors, make necessary corrections, and import the data into the accounting software. Prior experience with a hotel PMS is mandatory.
- Ensure that cashier deposits match system reports and prepare bank deposits.
- Send deposit summaries and daily statistics to the head office. Review accounts receivable entries, allocate amounts accurately, prepare and send client invoices, and perform follow-up collection calls when needed. Accounts must never exceed 60 days.
- Maintain the accuracy and up-to-date status of the accounts receivable database (client setup, invoicing, credit notes, receipts).
- Open mail and record received cheques in accounts receivable.
- Respond to client and supplier requests received by phone or fax. Ensure all documents are filed efficiently to keep records organized and current.
- Ensure the proper functioning and compliance of the archiving system for all accounting documents.
- Assist the hotel’s Financial Controller when required. Handle restaurant billing. Prepare accounts receivable reports. Knowledge and analysis of hotel market segmentation is an asset.
- Ensure that all documents and correspondence with clients and suppliers (invoices, faxes, letters) are written accurately and professionally.
- Reconcile bank statement revenues with the general ledger, including reconciliation of credit card transactions and bank transfers with subsidiary accounts.
