ABOUT THE ROLE

The HR Coordinator is responsible for providing coordination and technical support to Talent Management programs and curriculum, including scheduling, coordinating, and administration of course evaluations; administering and managing training databases and libraries including the Learning Management System (LMS); liaising with facilitators and participants; and providing logistical support to ensure course success.

WHAT YOU'LL BE DOING

  • Assists with administration of leadership program delivery including document tracking and course evaluations, liaising with program members, facilitators, and external coaches, preparing course materials, providing coordination assistance for sessions, as required.
  • Coordinates and maintains training schedule, Corporate Learning Catalogue, and course creation.
  • Acts as a primary contact for program databases coordination and class set up on LMS.
  • Liaises with external providers of tracking system for knowledge sharing and provides support for quarterly discussions on recommendations for improvement opportunities.
  • Creates, administers, distributes, and summarizes 360-degree Feedback Reports.
  • Provides administrative support to the external coaching program.
  • Gathers information on courses to be offered each calendar year from facilitators and creates/coordinates information in Corporate Learning calendar and database; schedules training rooms and equipment needed.
  • Communicates with other Departments and external partners/vendors to ensure all Corporate Learning opportunities are promoted and coordinated.
  • .Processes monthly training completions and program chargebacks dealing with any issues that arise.
  • Greets, registers, and introduces facilitators and participants; sets up classroom; distributes course materials; provides technical support for audio/visual equipment set-up and ensures facilitators have everything they need to facilitate Corporate Learning sessions.
  • Creates, distributes, and summarizes course evaluations, using survey software, per session; reports all concerns/suggestions to the Manager and sends summaries to the facilitators.
  • Scores online (eLearning) course testing documents and updates employee records within training database.
  • Maintains program inbox and triages with Talent Management team to respond and build knowledge base of responses.
  • Orders and arranges for payment of resources, materials, and supplies for the Corporate Learning Curriculum.
  • Interacts with the Region's employees; collects, compiles and shares employee feedback with talent development and delivery specialist
  • Provides information to support the development of financial plans and budget projections for the delivery of the talent management programs, and monitors and tracks expenditures.
  • Assists in the development and maintenance of processes, guidelines, and templates.
  • Assists in the development of communications tools for the implementation and rollout of training and recognition programs; responds to inquiries and concerns in a timely manner.

WHAT WE'RE LOOKING FOR

  • Successful completion of a Community College Diploma in Business Administration or related field or equivalent approved combination of education and experience.
  • Minimum one (1) year of experience supporting program development and management of projects and coordinating and supporting training events.
  • Familiarity with e-learning software, learning management systems (LMS), and web-based evaluation tools.
  • Ability to demonstrate corporate core competencies including communication, innovation, teamwork and collaboration, and personal ownership.
  • Demonstrated understanding of budget administration processes.
  • Strong problem solving, decision making and analytical skills.
  • Strong organizational skills, attention to detail and follow through.
  • Ability to coordinate multiple tasks efficiently and effectively and remain calm in stressful situations.
  • Intermediate skills in MS Office Suite including the use of virtual platforms for conducting meetings and/or presentations.
