Job Description: Operations Specialist Who We Are Emterra Group is a dynamic, growth-oriented, and safety-focused group of companies. Responsibilities
- Perform full-cycle accounts payable support for operational vendors including landfills, fuel suppliers, maintenance providers, and subcontractors.
- Review, code, and enter vendor invoices ensuring correct general ledger, cost centre, route, and contract allocation.
- Match invoices to disposal reports, scale tickets, service logs, and purchase orders etc to ensure billing accuracy.
- Prepare and process weekly and monthly payment runs via cheque and electronic funds transfer in accordance with approval controls.
- Maintain vendor master records, tax documentation, and payment terms; resolve vendor inquiries and discrepancies.
- Support month-end close activities including accrual preparation, reconciliations, and variance explanations.
- Prepare and analyze disposal, route profitability, and customer profitability reports.
- Track operational KPIs including cost per route, tipping fees, overtime, and service exceptions.
- Provide summarized insights and recommendations to management on cost control and efficiency improvements.
- Assist with budgeting and forecasting inputs related to fleet operations, municipal contracts and post collection operations.
- Manage supply ordering, inventory tracking, and vendor coordination.
- Maintain organized electronic and physical filing systems for financial, operational, and compliance records.
- Support internal and external audits, regulatory reviews, and municipal information requests.
Qualifications
- Minimum 2 years previous experience working in a related office/administrative role.
- Supervisory experience an asset.
- Experience and knowledge of the waste management or transportation industry an asset.
- Experience with data entry and the generation of reports.
- Ability to perform under tight deadlines.
- Experience providing customer service and the ability to act with diplomacy and professionalism.
- Strong computer skills, especially with Microsoft applications.
- Ability to multi-task and shift priorities as necessary.
- A friendly personality combined with a “roll-up your sleeves and get it done attitude”!
