About The Role The Real Estate Transactions Coordinator will be responsible for providing support to the Corporate Real Estate department by supporting negotiations and real estate transactions including documentation, financial analysis and market research. Additionally, the candidate will act as the point of contact internally and externally for the Real Estate team. This position will provide you with exposure to various levels across the organization as well as areas within the Real Estate function.
What You Get to Do: Transaction Coordination
- Support real estate negotiations and coordinate all aspects of transactional activity.
- Ensure documentation is accurate, complete, and compliant with ATCO’s legal, regulatory, and corporate standards
- Serve as a key point of contact for all stakeholders, providing timely updates and proactively resolving issues
- Develop lease area proposals and detailed cost summaries
- Conduct market and financial analyses to assess feasibility and support decision-making
- Track transaction milestones, advising the Real Estate team on progress, critical dates, and potential delays
Market Research
- Perform comprehensive market research and collaborate with brokerages to identify and present viable property options
- Analyze and summarize market data to produce insightful reports
- Investigate land titles and property records to support inquiries and resolve anomalies
- Assist with internal evaluations, summaries, and presentations for various business needs
- Participate in property tours and act as an internal liaison between business units and brokerages
Internal and External Relations
- Build and maintain strong relationships with brokerages, legal counsel, property managers, landlords, tenants, and other external partners to enhance ATCO’s reputation and streamline negotiations
- Foster collaboration with internal teams to ensure efficient coordination and execution of real estate processes
- Deliver professional and responsive customer service across all interactions
- Support resolution of landlord and tenant-related issues and discrepancies
Administrative
- Manage transaction and cost reporting with accuracy and timeliness
- Prepare and distribute rental notices and invoices, ensuring prompt payment processing
- Draft and issue internal and external communications including memos, lease documentation, and notices of default
- Maintain up-to-date stacking plans and property records
- Organize and manage filing systems and databases to ensure data integrity and accessibility
What You Bring:
- High School Diploma or GED
- Minimum 2 years of experience in the Real Estate Industry, with a preference for commercial experience
- Experience navigating Spin II
- High level of proficiency with MS Office and Adobe Acrobat
- A valid class 5 driver’s license
- Solid understanding of processes and market knowledge as it relates to commercial real estate
- Proven ability to interpret real estate agreements
- Exceptional communication skills, both oral and written
- Ability to prioritize and pivot tasks and workload
- Strong work ethic with a high attention to detail
- Excellent time management and organizational skills
- Thrives in a fast-paced environment with a diverse company portfolio
- Experience using Yardi software is an asset
- Experience working in a real estate brokerage is considered an asset
- Relevant post-secondary education is an asset
