As a Co-op, Administrative Assistant [Winter 2026] some of your responsibilities will include:

  • Work directly with our stakeholders and their clients to help manage their dynamic growing practices
  • Schedule, liaise and communicate with others, including clients, to proactively prepare information in advance of meetings
  • Receive, distribute, redirect and respond to mail, email, telephone calls, reports and other material. Ensure appropriate follow up action is taken where required in order to meet deadlines
  • Prepare, draft, edit and format letters, reports, presentations, spreadsheets and other client correspondence using Microsoft Suite
  • Oversee the client relationship management software for the group, including entry of opportunities, managing the progress and finalization, and client and job creation in the billing system
  • Drafting and sending invoices to clients
  • Prepare and track expense claim submissions
  • Support the team in the delivery of exceptional client service
  • Occasional reception coverage may be required
  • Partake in projects with others within the Business Unit
  • Coordinate internal/external meetings, room bookings, video conferences and in-office events

  • Proven work experience in a busy professional services environment, would be considered as asset
  • Strong attention to detail, organizational skills, and be able to switch between multiple priorities efficiently
  • Advanced working knowledge of MS Suite
  • Client-oriented attitude and exceptional client service skills
  • Excellent communication and interpersonal skills
  • Capable of meeting tight deadlines on multiple projects
  • Innovative thinking, sound judgment, and adaptable to service needs
  • Takes initiative and is a self-directed learner
  • Able to maintain confidentiality when working with sensitive matters
  • Available to work some overtime throughout the year

This role is open to students of Fanshawe College's Office Administration- Executive (Co-op) Program.
