About the Role
Working within the Facilities Management, the Equipment and Database Clerk will assist in the physical identification, tagging and digital cataloging of building equipment; as well, as data entry of information into the Archibus Integrated Workplace Management System (i.e. Health and Safety module). We are looking for 1 - 2 incumbents to work 15 - 25 hours per week from June 1 to August 31, 2026.
This position requires the ability to navigate tight and restricted spaces to locate and audit equipment. The incumbent must be comfortable working in mechanical environments where noise levels, heat, and dust may require the consistent use of earplugs, safety glasses, and other protective equipment. The role involves significant walking, standing, and maneuvering in non-traditional office settings.
This is a flexible position whose work schedule is variable and may include an irregular schedule of not less than three (3) hours per shift and up to thirty-five (35) hours per week.
Responsibilities
Equipment Inventory and Tagging
- Physical Audits: Conduct comprehensive walk-throughs of facilities to identify, locate, and verify mechanical, electrical, and plumbing equipment, as well as general building assets.
- Asset Tagging: Apply asset tags to equipment in the field according to established naming conventions and standards.
- Verification: Confirm information in the database including Model #, Serial #, etc) to the equipment onsite.
- Photo Capture: Take photos of equipment and nameplates.
Data Entry
- System Updates: Accurately input field-collected data into the Archibus IWMS database, ensuring all required fields are populated for each asset record.
- Data Input: Assist in uploading bulk data sets into Archibus for the Health and Safety module.
- Documentation: Attach digital manuals, warranties, and photos of equipment to the corresponding records in Archibus.
Reporting and Collaboration

Discrepancy Reporting: Identify and report any equipment discrepancies between field and database.

Team Coordination: Work closely with the Facilities Systems Specialists, Building Operations Supervisors, Managers and Specialists regarding equipment information and other database information needing to be collected.
Qualifications

High School plus additional course work (minimum required education)

6 - 12 months experience doing equipment audits and data entry (or similar work)

Prior experience with database management or IWMS platforms (specifically Archibus) is highly preferred.

High level of accuracy in data entry and the ability to spot minute differences in serial numbers or equipment models.

Ability to navigate mechanical rooms, climb ladders, and spend significant time walking through large facility complexes.

Strong ability to manage a high volume of assets without losing track of progress or documentation.
Salary: $21.23 - $26.81 per hour (increases on July 1, 2026 to minimum $21.87 per hour)
