KLS Earthworks & Environmental is hiring a Project Coordinator to support our growing team. Reporting to the Project Manager, the ideal candidate will bring 2-4 years of project experience and provide critical organizational and administrative support across multiple projects. This role requires someone who can adapt to shifting priorities, manage project documentation, and communicate effectively with both internal teams and external partners.
Key Responsibilities
- Develop and
maintain a thorough understanding of project scope, execution plans, and specifications, including all
plan
changes. - Create and
maintain comprehensive project documentation, including plans, reports, and records. - Ensure all required permits and licenses are obtained and adhered to through the project life.
- Assist with project procurement, ensuring materials and services are sourced and tracked effectively.
- Work with Project Managers, Superintendent and Supervisors to assess and schedule resource requirements.
- Assist the Project Manager with maintaining subcontracts and purchase orders and reviewing vendor invoices for accuracy.
- Develop and maintain positive working relationships with subcontractors, suppliers, and clients.
- Assist the Project Manager with the Request for Information (RFI) process, as well as shop drawings and change orders — This
may include pricing, negotiating, processing, and evaluating cost and schedule impacts. - Monitor project progress and provide regular updates to the Project Manager, including cost forecasts and schedule adjustments.
- Track and reconcile quantities and costs
daily - Assist the Project Manager with the development, maintenance, and communication of project schedules.
- Reconcile time and materials (T&M) work and issue change orders when required.
- Assist with progress billing, ensuring client invoices align with work completed and resolving any discrepancies.
- Support project closeout by compiling and archiving documentation, preparing maintenance and warranty manuals, and tracking deficiencies and warranty work.
Skills & Qualifications
- Proven experience as a Project Coordinator or in a similar project support role.
- Civil Engineering Technologist diploma or related education (2+ years) considered an asset.
- Proficient with Microsoft Project and Microsoft Office Suite (Word, Excel, Outlook).
- Experience with HeavyBid Estimating Software is a strong asset.
- 3+ years of project administration or coordination experience, ideally in civil construction.
- Ability to read and interpret contracts, construction drawings, and technical reports.
- Strong organizational skills with the ability to prioritize and multi-task in a fast-paced environment.
- Excellent communication and teamwork skills with the ability to work closely with field teams, office staff, clients, and vendors.
