Job Summary

The Divisional Youth Administrative Coordinator actively supports the mission, goals, and operational effectiveness of the Divisional Youth Department by providing comprehensive administrative, organizational, and logistical support for youth ministries, camps, events, leadership development, and divisional initiatives. The incumbent performs general office administrative duties while serving as the primary administrative support to the Divisional Youth Secretary (DYS) and Youth Department.

Key Accountabilities

  • Provide comprehensive administrative leadership to the Divisional Youth Secretary and Youth Department, preparing high-quality documents, reports, presentations, and ministry resources that support effective decision-making and ministry delivery.
  • Manage departmental communications, including overseeing the shared inbox and ensuring timely, accurate responses and redirection of inquiries.
  • Maintain accurate records, statistical data, activity logs, and reporting systems to support accountability, compliance, and strategic planning across youth and camping ministries.
  • Coordinate end-to-end logistics for divisional youth events, conferences, retreats, leadership trainings, and outreach initiatives to ensure seamless execution and strong participant experiences.
  • Oversee event and camp registration processes, payment tracking, and participant communications to ensure efficient administration and positive stakeholder engagement.
  • Develop and distribute clear, compelling promotional and informational materials to increase awareness and participation in children’s and youth initiatives.
  • Support the implementation of divisional and territorial youth strategies, contributing to aligned, mission-focused ministry outcomes.
  • Coordinate leadership development resources and training support for ministry units, strengthening local capacity and volunteer effectiveness.
  • Administer camping ministry operations, including camper records, staff documentation, compliance tracking, onboarding materials, and program reporting.
  • Facilitate post-event and post-camp follow-up processes, enabling effective connections between ministry units and children, youth, and families for ongoing engagement.

Working Conditions:

  • Office-based work environment at Divisional Headquarters
  • Occasional evening and weekend work required during major events and camp season
  • Periodic travel may be required for camps, events, and divisional youth initiatives
  • Summer season may require increased workload related to camping ministries

Education and Experience Qualifications

  • Post-secondary education in Office Administration, Business Administration, Ministry, or related field (preferred)
  • Minimum of two (2) years of administrative experience
  • Experience working with children, youth, or camp ministries is an asset
  • Strong proficiency in Microsoft Office, databases, and digital communication tools
  • Strong organizational and time management skills
  • High attention to detail and confidentiality
  • Self-motivated and able to work independently and within a team environment
  • Adaptable, resourceful, and solutions-oriented
  • Passion for children and youth ministry and spiritual development

Compensation:

The target hiring range for this position is $18.05 to $22.56 with a maximum of $27.07.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
