As part of our Shared Services group, comprised of Finance, Marketing, Communications, Human Resources, Commercial, Legal and Facilities, we support the business achieve their goals through a range of strong technical capabilities. We ensure delivery of services through the skills of our people, methodologies, and systems.
Responsibilities:
- Provide client support by logging, tracking and ensuring timely completion of tenant requests and preventative maintenance work orders using the Hatch Angus Service Portal (Mississauga and Oakville) and Zendesk (offices outside Mississauga and Oakville).
- Provide department support by assigning and reassigning tenant requests and preventative maintenance work orders.
- Provide information and support by monitoring and responding to emails in the shared Facilities Team Mailbox.
- Prepare and send inter-department and office communication using approved email and bulletin templates.
- Coordinate leased office space base building service requests via the property management service portal, i.e., 2599 (Colliers) and 2265 (Fengate).
- Coordinate photo ID badge printing and coffee supplies orders and vendor service requests.
- Print and issue photo ID access badges locally using CCure 9000
- Print, issue and ship photo ID access badges to other Hatch offices as required.
- Activate and deactivate EV charger user profiles (FLO).
- Assist with planning and logistics for internal events.
- Assist with scheduling and logistics for ergonomic assessments.
- Respond to office parking related requests and issue approved parking tags.
- All other responsibilities as required.
Qualifications:

Post-secondary education in Office Administration, Facilities Administration, Business Administration, or related fields is preferred.

Minimum 2–3 years of experience in an administrative, facilities coordination, customer service, or office support role.

Experience managing service requests, work orders, and shared team inboxes in a fast-paced office environment.

Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines.
-
Excellent written and verbal communication skills with a professional and customer-focused approach.
-
Proficient in Microsoft Office Suite, particularly Outlook, Word, and Excel.
-
Experience working with service management systems such as Angus, Zendesk, or similar platforms is an asset.
-
Experience using access control or badge printing systems such as CCure 9000 is an asset.

Familiarity with vendor coordination, office services, and facilities support processes is preferred.

Ability to work independently while also collaborating effectively within a team environment.

Strong attention to detail and commitment to accuracy in handling requests, records, and communications.

Ability to maintain confidentiality and exercise sound judgment when handling employee and office-related matters.

Experience supporting multiple office locations or coordinating services across sites is an asset.

Familiarity with EV charging administration platforms such as FLO is considered an asset.
Base salary range: $43,000 - $55,000
At Hatch, we are committed to fair and equitable compensation practices. In accordance with legislated pay transparency requirements, the expected salary range for this position is based on current market data and aligned with internal pay structures to ensure consistency and fairness.
Your individual compensation within this range will depend on factors such as skills, experience, qualifications and location.
