Position Overview
As the Receptionist / Office Administrator, you’ll be the first point of contact for clients and play a vital role in ensuring smooth day-to-day operations. This role is ideal for a proactive multitasker who enjoys supporting both clients and internal teams with professionalism and care.
Key Responsibilities
Client Service & Communication
- Greet and assist clients with inquiries related to policies, coverage, and claims.
- Provide clear guidance on insurance products and policy changes.
- Build strong, respectful relationships with clients by understanding their unique needs.
- Resolve service issues efficiently, aiming for first-contact resolution.
- Maintain accurate and confidential records of client interactions.
- Stay up-to-date on industry trends, product updates, and regulatory changes.
Reception & Communication Management
- Answer and manage incoming calls: screen, redirect, and take messages.
- Ensure timely and accurate message distribution to relevant team members.
Operational & Administrative Support
- Manage daily operational tasks, including non-payment follow-ups and message tracking.
- Handle bank deposits and payments with precision.
- Process incoming and outgoing mail, packages, and deliveries.
- Support sales and service teams in achieving client service and sales goals.
Office & Resource Management
- Monitor and order office supplies to maintain inventory levels.
- Assist with document preparation, scheduling, and project coordination.
Qualifications
- Associate’s degree or higher in office/business administration (preferred).
- Minimum 2 years of experience in a receptionist or administrative role.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office and office management systems.
- Commitment to delivering outstanding customer service.
- General Insurance License (Level 1 or 2) is an asset, but not required at the time of interview.
- Fully bilingual in English and French, with strong verbal and written skills.
