Dispatch Administrator

The Dispatch Administrator plays a crucial role in supporting daily dispatch operations and ensuring the efficient, timely, and accurate flow of information between drivers, customers, and internal teams. This position is responsible for administrative coordination, documentation accuracy, and maintaining strong communication across the dispatch department.

Job Description:

• Gather, analyze and input needed route and load information for permit applications
• Work with an inside team of dispatch and driver managers along with outside service providers and permitting entities at both the state and local levels to ensure project requirements are met.
• Obtain correct and optimal routing for specialized loads that complies with state/provincial laws
• Coordinate setup and contracts for state police, utility trucks and other services necessary for transport of oversize loads
• Monitor permitting services on multiple projects simultaneously while ensuring that internal and external team members have continuous and concise updates
• Procure permits from all states and provinces using several different state and municipal websites
• Track, trace and organize permits for multiple shipments
• Communicate with inbound/outbound planners regarding the time-line for procuring permits
• Educate and inform drivers regarding permit details and restrictions
• Provide cross-over training regarding permits to provide coverage during absences/vacation
• Independently solve problems in a fast-moving environment
• Other duties as assigned
