About Musqueam

We are traditional hən̓q̓əmin̓əm̓ speaking people. Today, we are a strong, growing community of over 1,300 members. We live on a small portion of our traditional territory, known as the Musqueam Indian Reserve, located south of Marine Drive near the mouth of the Fraser River. The name Musqueam relates back to the River Plant, the name of the plant is məθkʷəy̓. There is a story that has been passed on from generation to generation that explains how we became known as the xʷməθkʷəy̓əm (Musqueam) - People of the River Plant. We have always moved throughout our territory using the resources it provides for fishing, hunting, trapping and gathering. We remain distinct and our cultural practices are strong, despite the devastating impacts of residential schools, colonial laws banning our ceremonies, and other attempts to assimilate our people. Our lands and waters continue to support our cultural and economic practices while serving as a source of knowledge and memory, encoded with our teachings and laws. Position Summary

Reporting to the Lands Director, the Lands Assistant provides administrative and clerical support for the Musqueam Lands Governance Office (MLGO). A primary responsibility is managing land-related records in compliance with Musqueam’s Records and Archives Management systems and the Musqueam Land Code. The Lands Assistant ensures records are accurate, accessible, and properly classified while supporting permitting, applications, Lands Committee functions, and day-to-day office operations.


Roles & Responsibilities

Records Management

  • Maintain and update the MLGO’s filing systems (physical and electronic) in alignment with Musqueam’s Records & Archives Management policies and classification systems.
  • Ensure records are securely stored, retrievable, and retained according to Musqueam retention schedules and archival standards.
  • Coordinate with Musqueam Archives/Records staff for transfer of inactive files and long-term preservation of records of enduring value.
  • Monitor file management practices, identify gaps, and recommend improvements to maintain consistency and accuracy across the Lands Office.
  • Support internal and community requests for access to records, ensuring compliance with confidentiality rules and Land Code provisions.
  • Provide orientation to Lands staff on file naming conventions, retention schedules, and classification standards used in Musqueam’s records system.

Administrative & Land Governance Support

  • Log, track, and monitor land-related applications and correspondence (e.g., subdivisions, permits, allotments).
  • Assist with the intake and processing of applications, and preparation of briefing materials, correspondence, and Council submissions.
  • Prepare, circulate, and archive notices, agendas, meeting packages, and minutes for the Land Code Committee and other governance meetings, in accordance with Musqueam’s policies.
  • Provide general administrative support to the Lands Director and Lands Governance Officer, including scheduling and cross-departmental coordination.
  • Assist in preparation of reports, budgets, audits, and annual reporting requirements.
  • Coordinate logistics for community consultations, workshops, and engagement events.
  • Coordinate travel arrangements when required.
  • Perform other related duties as required.

Knowledge, Skills and Abilities

  • Post-secondary education or training in administration, records management, or a related field; equivalent work experience will be considered.
  • Experience working with records management systems, archives, or information governance practices, preferably in a government, legal, or Indigenous context.
  • Knowledge of the Musqueam Land Code and land governance processes is an asset.
  • Strong organizational and time management skills, with attention to detail.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort with electronic records systems and databases.
  • Strong written and oral communication skills, including the ability to prepare clear correspondence and meeting notes.
  • Ability to maintain confidentiality and use discretion in handling sensitive and complex information.
  • Strong interpersonal skills and ability to work collaboratively with staff, community members, Chief & Council, and external partners.
  • Cultural competency and familiarity with Musqueam community, values, and traditions are considered an asset.
