Currently, our Site Services Division currently has a Facilities and Services Specialist opportunity.

The Facilities & Services Specialist is responsible for ensuring a functional, safe, and efficient workplace environment. By effectively managing space and resources, this role supports the overall productivity and satisfaction of employees, contributing to the organization's success.

This is a permanent, full-time position which offers a competitive benefits, compensation and pension package and is located on site in Tiverton, Ontario.

Specific Responsibilities:

  • Provide support in office accommodations and related space planning for client groups; collecting, analyzing, designing and translating information into preliminary sketches, floor layouts, drawings, presentations, specifications and requisitions
  • Participate in the administration of contracts for the cafeteria, leases, utilities and maintenance subsidies within the division
  • Support the administration of vendor contracts and monitor vendor performance
  • Provide administrative support involving office space, office equipment, hardware, and telephone facilities. Discuss with client groups their specific office accommodation needs
  • Co-ordinate office moves and installations.
  • Provide an appropriate tagging system to identify all furniture and equipment requiring relocation.
  • Co-ordinate and maintain inventory control of all office equipment and perform physical inventory counts
  • Participate in the development, review and updating of standards, procedures and policies as they relate to the allocation and design of space, furnishings, material requisitions, etc.
  • Actively assess computer workstation set up for ergonomic correctness. Suggest office furniture intended to support ergonomics
  • Maintain an up-to-date awareness of new or improved furniture, techniques, procedures and applications as may become available or introduced in the market place through future trend forecasting and research.

Knowledge and Skills:

  • Experience with using AutoCad as related to the preparation and or revision of layouts
  • Strong written and oral communication skills to work with clients, team members and external groups
  • Knowledge of the Occupational Health and Safety Act pertinent to office environments, to provide adequate support to clients
  • Experience with budgeting routines and monitoring of costs and expenditures related to furniture acquisition and the major contracts involved.
  • Knowledge of office accommodation planning, including lighting, electrical, network, acoustics, heating, ventilating, furniture, furnishings, fabrics, partitioning, and space optimization techniques
  • Knowledge of system office furniture assembly and components
  • Requires experience to understand the customers office planning needs, and to provide advice and guidance on office space standards, policies, procedures and costs.
  • Requires experience to understand the municipal and fire regulations, building codes, safety regulations, by-laws and applicable owner and tenant agreements.
  • Requires experience to understand the constraints imposed by systems furniture, partitions, and electrical, mechanical and communications systems.
  • Requires knowledge to explain and monitor the cost of services, answer billing enquiries, and understand Bruce Power’s organizational structure to provide an efficient and effective service to customers.
  • Requires a knowledge of office accommodation planning, including lighting, telecommunications, electrical, network, acoustics, heating, ventilating, furniture, furnishings, fabrics, partitioning, and space optimization techniques, to respond to customers’ requests and provide advice and guidance.
  • Requires a knowledge of drafting techniques, including computerized drafting systems, and associated arithmetic calculations to produce sketches, floor layouts and drawings.
  • Requires written and oral communication skills to work with customers, team members and external groups on workplace planning issues and to answer billing enquiries.
  • Requires a knowledge of business methods and practices to understand customers space requirements, to participate in planning, scheduling, and arranging the workload, and to carry out the administrative functions of the job.

Education and Experience:

  • A period of over three (3) years, up to four (4) years is considered necessary to gain this experience.
  • This knowledge is considered to be normally acquired in either a Grade XII education in a secondary school plus three-years of further concentrated study, or the equivalent education.
