The Mikisew Cree First Nation (Mikisew) has lived on the ancestral lands of the Athabasca Delta and Wood Buffalo National Park in northeastern Alberta since time immemorial. The lives of our members are linked to the land and to a close understanding of traditions, history and a natural way of life. Many of our members live in the hamlet of Fort Chipewyan, and our traditional lands range over a large portion of Athabasca oil sands deposits. For nearly 30 years, Mikisew Group, our wholly owned business arm, has worked toward the long-term, sustainable economic progress of our Nation and its members through employment and significant investments in education, training, social programs and infrastructure.
Who You Are
Mikisew is currently seeking a dedicated and compassionate, experienced Administrative Coordinator. The Administrative Coordinator is responsible for providing efficient and organized administrative support for Mikisew Cree First Nation, GIR. This role ensures smooth day-to-day operations by managing office tasks, coordinating schedules, and facilitating communication between departments, community organizations, and external partners. The Administrative Coordinator works closely with various teams to support operational needs, maintain records, and ensure timely completion of administrative duties. Strong organizational skills, attention to detail, and professionalism are essential in this role. The position requires the ability to multitask, adapt to fast-paced environments, and maintain respectful and courteous interactions with all stakeholders.
Roles & Responsibilities

Provide administrative support, including scheduling meetings, travel and accommodations bookings, and maintaining records.
-
Coordinate office operations (i.e., updating staff leaves/boardroom calendar, changing furnace filter/air purifier, gathering groceries, office, janitorial supplies, completing airport runs, compiling inventory into cabinets and at the storage unit, etc.) to ensure efficiency and organization.

Creating purchase orders through Xyntax to book reservations and to look up invoices.

Assisting in gathering invoices to match statements and purchase orders, along with coding them (i.e., hotels, flights, catering, etc.).

Responsible for being a point of contact for the security system and creation of fobs.
-
Creating spreadsheets through Excel and office closure templates/posters on Canva.
-
Serve as a point of contact for internal teams, community organizations, and external partners.
-
Manage office supplies and ensure a well-organized workspace (i.e., in the front, common areas, and the kitchen).

Support event planning and logistics for meetings, conferences, and other engagements.
-
Supporting the Community Based Monitoring and Guardian’s Team in Fort Chipewyan, AB (i.e., supply runs, etc.).
-
Assisting with Meeting Notes through OneNote.
-
Assisting with setting up technology such as computer equipment, software, and/or IT Issues.
-
Documenting and filing on Laserfiche.
-
Picking up online orders from suppliers, and/or shipping them with McMurray Aviation, Purolator, Canada Post, and Fed-Ex.
-
Assisting the EA of the Chief and Council and the Events Coordinator with internal tasks (i.e., travel, supply runs, etc.).

Maintain confidentiality and uphold professional standards in all communications.

All other duties as assigned.
Qualifications
-
High school diploma or equivalent (required); post-secondary education in business administration, office management, or a related field (preferred).

Previous experience in an administrative or office coordination role is preferred.

Proficiency in Microsoft Office Suite (i.e., Word, Excel, PowerPoint, Teams, Outlook, OneNote) and Adobe.

Experience handling scheduling, correspondence, and record-keeping.
-
Strong understanding of office procedures and administrative best practices.
-
Experience with data entry, document management, and filing systems.
-
Knowledge of basic financial and budgeting processes is an asset.
-
Strong organizational and time management skills.
-
Excellent customer service skills and experience interacting with clients, staff, or external stakeholders.
Other Requirements

Possess a valid Class 5 AB driver’s license and own or access to a vehicle.
-
Willingness and ability to to travel as required by business needs.
-
Willingness and ability to work after hours and/or weekends when required.
-
Willingness to submit to an Oath of Confidentiality.
-
Willing to work flexible schedule. Combination of working remotely, in-office, and at community locations.

Must provide and possess a clear criminal record vulnerable sector check.

Ability to speak and/or understand the Cree language (or another applicable First Nation language) would be an asset but not required
