Job Description:
Note : This is a Temporary Full-Time position for 6 months from date of hire.
Payband: This position is paid at Payband F.
Hours: Monday to Friday, 8:30 a.m. to 4:30 p.m.
Position Summary:
The incumbent completes accounting processes required to reconcile the College’s payables sub-ledger, creates journal entries, transmits e-cheques bank files and processes bank payment files electronically to bank while maintaining internal controls over the College’s accounts payables.
Duties & Responsibilities:
- Accounts Payable Operations: Produces paper and electronic cheques, initiates wire payments, and prioritizes requests based on payment terms, cash flow, and bank processing requirements.
- Bank File and Payment Integrity: Transmits bank files electronically, monitors payables using positive pay and payee match functions, and responds to bank inquiries and payment issues
- Payment Scheduling and Optimization: Collaborates with the Payment Coordinator to manage schedules for various payment types and implements strategies to improve purchasing card and EFT usage
- Invoice and Expense Review: Receives and reviews supplier invoices and expense reports, ensuring compliance with college policies and identifying variances for follow-up
- Purchasing Card Oversight: Posts purchasing card expenses and ensures data integrity by monitoring adherence to GAAP and correct account coding
- Audit and Reconciliation: Conducts regular bin audits and prepares journal entries to reconcile departmental and college accounts
- Sub-Ledger and Financial Compliance: Ensures accurate and timely transaction recording, reconciles sub-ledgers to the general ledger, and processes adjustments in line with GAAP and CFIS guidelines
- International Payments and Support: Initiates international wire payments, supports AP entry, and communicates with the International Office regarding payment discrepancies and overpayments
- Other Duties as Assigned
Qualifications:

Post-secondary 3 year diploma/degree in Accounting;
Equivalent related disciplines may be considered
-
Minimum 3 years’ experience in an Accounting or Accounts Payable department within a multi-faceted organization (or commensurate with a medium to large sized public sector organization)

Equivalent combination of education and experience may be considered
-
Experience gained as a team player in a service-oriented office environment
-
Experience using computerized financial systems, databases, and Microsoft Office including Excel and Word
-
Experience with Workday or other similar ERP system would be an asset
-
Experience in an educational or public sector environment an asset
-
Excellent organization and communication skills and ability to meet deadlines
-
Demonstrated ability to work independently
