Position Summary
Reporting to the Operations Manager, the Faculty Assistant ensures smooth and efficient academic operations by coordinating administrative processes related to program delivery, scheduling, finance, admissions, and student experience. Acting as the primary point of contact for faculty, staff, students, and external stakeholders, this role provides high-quality customer service while maintaining confidentiality and accuracy. The Faculty Assistant plays a critical role in maintaining organized systems and fostering a collaborative, service-driven environment within the Faculty.
Responsibilities

Assists in coordinating and implementing academic program activities such as scheduling, curriculum updates, and faculty assignments.

Tracks and maintains program documents such as outlines, syllabi, textbooks, and evaluations.

Monitors key academic calendars and deadlines to support timely submissions and approvals.

Maintains curriculum tracking spreadsheets and support program coordinators in document submission.
-
Generates academic-related documentation such as FLACs and HR forms (e.g., EPAF, EICN, EIPF), and input scheduling and HR-related data where needed.

Coordinates onboarding activities for new faculty, including orientation, access setup (IDs, IT requests), and instructional materials.

Maintains up-to-date records of faculty contact details, teaching assignments, and course materials.

Provides assistance with procurement, copying, print requests (e.g., Ricoh), and ordering of instructional supplies.

Organizes and support faculty meetings and events, including room booking, agendas, and minutes.

Responds to student inquiries and concerns, escalating to the appropriate staff or faculty as required.

Tracks and report on enrollment data to assist with course planning and student success strategies.
-
Generates, formats, and distributes program-level reports from college systems such as Banner and AISmartR.

Maintains student enrollment dashboards or rosters and assist with outreach or follow-up activities.

Assists in the coordination of orientation materials and sessions for new students.

Communicates scheduling, program changes, and event updates to faculty, staff, and students.

Performs other duties as required or assigned in support of the Operations Manager
Qualifications/Experience
-
Two-year diploma in Office or Business Administration or a related field; or an equivalent combination of education, training, and experience
-
Three (3) years of administrative and/or operational support experience in a service-oriented, deadline-driven environment, preferably in a post-secondary or other public educational environment.

Demonstrated ability to work independently and professionally in handling inquiries, complaints, and competing deadlines with diplomacy and tact.
-
Proven financial literacy, i.e., tracking business expenses, reconciling invoices and statements, and preparing reimbursement submissions.
-
Advanced writing, editing, and presentation skills for the preparation of high-quality correspondence, presentations, and stakeholder communications.

Strong organizational and time-management skills.

Advanced technical skills, including proficiency in:
- Microsoft Office suite (Outlook, Word, Excel)
- Tele- and video-conferencing platforms (ex. Teams, Zoom)
- Document sharing platforms (ex. SharePoint, OneDrive)
- Learning management systems (ex. Blackboard, D2L Brightspace, or other LMS)
- Academic information systems (ex. Ellucian Banner or other AIS)

Exceptional interpersonal, communication, and relationship-building skills with internal and external stakeholders.

Strong understanding and sensitivity working in a highly diverse student community

Familiarity with academic scheduling, onboarding processes, and student services considered an asset.
