Student Systems Business Analyst, Office of the Registrar
About the role
The Office of the Registrar is currently seeking a Full-time Temporary Student Systems Business Analyst for approximately 5 months, with the opportunity for extension.
This position reports to the Student Systems Business Analyst Manager and may be remote or in-person. We would love to work with an internal candidate who would like to pursue a secondment to our unit for this short term to immediately help with some short term projects, or an experienced contractor with extensive PeopleSoft experience, particularly in admissions and/or PeopleSoft queries.
This role within Student and Enrolment Services is integral to the effective and efficient operation of PeopleSoft Campus Solutions and related systems. This work includes analyzing business requirements and designing, testing and implementing solutions, which may include business process changes, modifications to existing functionality or new functionality within the PeopleSoft application. Work arises from observed issues/problems with the current system and requests for enhancements or new functionality. In addition, this position supports business objectives of the institution, Faculties and other areas on campus and may involve some evening and weekend work outside of regular business hours.
Business Analysts are responsible for eliciting business requirements and responding to them within the capabilities of our information technology. Business Analysts must analyze and synthesize information provided by a large number of people who interact with the student systems, such as Student and Enrolment Services staff, IT professionals and members of management. In many cases, the business analyst will also work to ease communications between organizational units, serving as a liaison between the business end users and the IT professionals. In addition to analyzing and responding to business requirements, they play a key role in testing changes to the Registrar and student information computer systems, especially PeopleSoft, that support the student and business operations of the University of Calgary.
Summary of Key Responsibilities (job functions include but are not limited to):
- Excellent skills in client services: Analyze business requirements thoroughly and recommend appropriate solutions in collaboration with IT and members of Student and Enrollment Services and other stakeholder groups.
- Strong problem-solving skills and critical thinking: Must understand the roles and specific disciplines related to Enrollment Services/other stakeholders and IT in order to conceptualize and communicate solutions. Willing to learn about the business so as to best understand needs and solutions to solve business problems.
- Business solutions and testing approaches: Using in depth knowledge of PeopleSoft Campus Solutions and other student applications, act as a resource person for the Enrollment Services staff and other stakeholders designing solutions to meet their business requirements. These solutions can be simple or can involve multiple functions that impact thousands of students on an ongoing basis. Provide guidance on best practices and innovative technologies/solutions to help meet the needs of the business.
- Attention to detail, and thoroughness in investigations and testing: Participate in the testing and approval of specific projects or change management requests in the Campus Solutions system such as version upgrades, application of maintenance packs/bundles, Oracle database upgrades, PeopleTools upgrades, security patches, and the implementation of specific stand-alone applications.
- Written and verbal communication skills: Communicate changes to the end users or to specified training resources. As required, provide additional documentation and work aides, and be a resource for end users as they operationalize any recent changes to the student applications. Document all system changes and decisions to ensure accurate records and transparency for auditors. This may include comprehensive decision documents, opportunity assessments or project management documents to track more substantial system enhancement requests.
- Strong analytical skills including SQL and Queries: ability to query databases to gather data and then analyze to provide solutions and/or solve problems. Strong Excel and/or Power BI skills to be able to work with large data sets efficiently and effectively. Ability to use this analysis to provide recommendations to business units including technical strategies to increase efficiencies within a unit.
- Technical aptitude for learning and understanding technologies and PeopleSoft Student Systems: Participate in cross-functional troubleshooting, analysis and testing with other PeopleSoft functions and IT units (e.g. Finance, Human Resources, and Enterprise Reporting). On occasion, lead ad hoc working teams to resolve operational issues, identify solutions and support their implementation. Self-directed learner with the ability to research and find solutions through testing and collaboration. At minimum a basic understanding of coding and logic to be able to understand and facilitate work required by the development team. Ability to translate technical requirements to layman terms best understood by the business stakeholders.
Qualifications / Requirements:

An Undergraduate degree in Computer Science, Business Administration or equivalent education and/or experience.

Certificate in Business Analysis or CBAP designation or Project Management is an asset. Certificate or proven expertise in SQL, Queries, and data analysis including strong expertise in Microsoft products (Excel, Word, Power Point, Teams, Outlook, etc.) or other analytical software.

Certificate or proven experience in at least one programming language such as C, C++, Java, Python, html, or VBA, etc.

A minimum 3 years experience as a Business Analyst working with a large scale ERP or a minimum of 5 years experience working directly with PeopleSoft - Campus Solutions and a strong technical background.

Advanced level knowledge of business analysis and design in one or more PeopleSoft focus area modules, including experience with configurable tables and business processes.

Advanced level knowledge of PeopleSoft processes and best practices as well as current business processes for Student and Enrolment Services.

Customer service oriented.

Team player - willing to collaborate with other team members and user departments to resolve problems quickly and effectively.

Strong business acumen and organizational abilities to balance strategies against what is functionally, technologically, and financially feasible.

Ability to follow rigorous project management practices and methodology.
