Description

The Hunter Hub for Entrepreneurial Thinking (Hunter Hub) under the Office of the President invites applications for a Events and Community Coordinator. This Full-time Fixed Term position is for approximately 24 months (based on length of grant funding), with the possibility of extension.

Created with a transformational gift from the Hunter Family Foundation in 2017, the Hunter Hub for Entrepreneurial Thinking is the University of Calgary's community innovation hub, transforming lives and economies by fostering entrepreneurial thinking in students, faculty, and the community. Our mission is to create and support game-changing innovators and accelerate their ideas from conception to impact. Located in the Vice-President (Research) portfolio, the Hunter Hub contributes directly to the University of Calgary's strategic vision to be the most entrepreneurial university in Canada.

Reporting to the Manager, Community, and working collaboratively with the Hunter Hub team, internal stakeholders, and external partners, the Events and Community Coordinator supports the delivery of Hunter Hub events, community engagement, and partnership and sponsorship activations. The Coordinator works in close partnership with the Events Specialist, supporting event logistics and execution, while taking the lead on welcoming and supporting the Hunter Hub community and coordinating the on-the-ground delivery of partner and sponsor activations.

The Events and Community Coordinator is an essential and integral part of the Hunter Hub for Entrepreneurial Thinking. Success in this role is defined by proactively and independently coordinating the logistics that bring events, community programming, and partner activations to life, and by building and improving processes where needed. The role requires a self-starter with outstanding organizational skills, sound judgment, accuracy, and speed of delivery.

The Hunter Hub is a fast-moving, innovative environment with a high volume of visible, complex work and important stakeholders across campus. There will be competing demands and multiple deadlines, and the incumbent must communicate regularly with many stakeholders with a high degree of professionalism and judgment.

This is a 2-year full-time fixed-term AUPE position, with the possibility of extension. Work hours are 8:30 a.m.to 4:30 p.m.; the position will involve flexible work hours (early mornings, weeknights, and weekends) to accommodate the Hunter Hub events schedule.

Summary of Key Responsibilities (job functions include but are not limited to):

Events and Community Coordination

Maintains the central events email address and acts as a front-line contact for event and space-booking clients, ensuring their needs are met; interacts frequently and independently with senior administrative staff and key stakeholders. Supports the Events Specialist with the execution of Hunter Hub events and programs (online and in-person), including logistics, vendor coordination, run-of-show support, preparing agendas and event briefs, and inviting and registering guests, speakers, and participant Coordinates the set-up, reset, and tear-down of the Collision Space and meeting spaces for events and programming, including coordinating IT and event-equipment set-up and ensuring the space is event-ready. Supports the coordination of the Hunter Hub events and space-bookings calendar in partnership with the Events Specialist and the Manager, Community. Organizes and maintains digital displays, presentation materials, and marketing / communications materials for Hunter Hub events. Uses discretion to establish best practices and write standard operating procedures (SOPs) that continually improve the effectiveness of Hunter Hub event and community operations, providing input on methods, scope, timing, and resources.

Partnerships, Sponsorships and Activations

Coordinates the on-the-ground delivery and logistics of partner and sponsor activations at Hunter Hub events and in the Collision Space, ensuring commitments and deliverables are fulfilled. Supports the development and tracking of vendor, partner, and sponsorship agreements, and helps ensure agreed benefits and deliverables are met on time. Liaises with partners, sponsors, and vendors to coordinate logistics, materials, branding, and event-day requirements for activations. Tracks activation and sponsorship deliverables, timelines, and outcomes, and flags risks or gaps to the Events Specialist and the Manager, Community. Coordinates the timely ordering, set-up, and inventory of activation and event materials and supplies.

Reporting and Database Administration

Creates, maintains, and updates file systems and databases for events, community, and partnership information; keeps records up to date and shared drives organized. Ensures all event, and community-member, is accurately entered into the database.

Operational Administration

Coordinates the timely ordering of event, activation, and membership supplies. Provides general administrative support within a team environment for assigned projects, including liaising with other University of Calgary departments on event-related details.

Qualifications / Requirements:

A post-secondary certificate, diploma, or degree in events, hospitality, communications, business, or a related field is preferred. A combination of education and experience will be considered. Minimum 2+ years of experience in event coordination, community or stakeholder engagement, and/or partnership and sponsorship support, with a demonstrated increase in responsibility over that period. Experience supporting the logistics and execution of in-person and virtual events, including set-up, registration, vendor coordination, and run-of-show support. Experience coordinating partner, sponsor, or vendor relationships and delivering on activation or sponsorship commitments is an asset. Strong interpersonal skills, with demonstrated professionalism, diplomacy, discretion, courtesy, and respect in all interactions; a collaborative, courteous relationship-builder able to work effectively with team members and partners from a variety of disciplines. Ability to act decisively and to exercise a high degree of initiative and sound judgment. Strong written and verbal communication skills. Excellent organizational and problem-solving skills with strong attention to detail, and the ability to balance multiple projects, deadlines, and priorities while remaining calm under pressure. Advanced skills in Microsoft Office (e.g., Outlook, Teams, Word, Excel) and common cloud tools (e.g., Google Drive: Sheets and Forms), and the ability to acquire a high-level understanding of university processes and business systems. Database / CRM administration experience is an asset; experience with Salesforce is an asset. Experience at UCalgary and/or with eFin and PeopleSoft is an asset. Experience with Luma and/or Qualtrics is an asset. Familiarity with event policies and protocols and basic knowledge of best practices. Ability to lift or move small furniture and event materials as required to set up, reset, and tear down event and activation spaces. Must be willing to work flexible hours based on event needs.
