About the Role

We're looking for a polished, highly organized Executive Assistant to provide dedicated support to two of our senior leaders. This is a hands-on, hybrid in-office role (4 days per week in our downtown Toronto office near Exhibition GO Station) for someone who thrives on keeping busy executives — and the wider team — running smoothly. You're someone people instantly trust with the details: travel, numbers, vendors, events, and the occasional curveball project.

Responsibilities

Provide dedicated, high-touch support to two senior executives, owning and optimizing their complex, fast-changing calendars to protect time for strategic priorities. Coordinate seamless travel — flights, ground transportation, accommodations, and detailed itineraries — for the executives and for group travel across the sales and marketing teams (typically 1–10 people attending an event). Manage and track expense reporting and financial reporting with accuracy and attention to detail. Take on special ad-hoc projects and manage relationships with key vendors and service providers. Act as an on-site coordinator for company events, including travel within Canada and to the U.S. as needed. Prepare executives for internal and external meetings by organizing agendas, compiling briefs, and following up on action items. Help maintain a vibrant team culture by organizing internal team events, office socials, team lunches, and milestone celebrations. Act as a professional liaison and gatekeeper, managing correspondence with clients, partners, vendors, and internal teams with absolute discretion.

Qualifications

3–6 years of experience as an Executive Assistant, administrative assistant, or in a comparable operations role — ideally in a SaaS or corporate professional-services environment. Proven experience coordinating travel, including group travel — flights, transportation, and ground logistics. Strong Excel skills and comfort with numbers, expense tracking, and financial reporting. English as a first language strongly preferred — exceptional written and verbal communication is essential. A polished, professional presence and strong business acumen, with the ability to engage confidently from front-line staff to C-level executives. Absolute discretion and high emotional intelligence when handling confidential, proprietary information. A self-starter who learns quickly, figures things out as they go, and thrives in a fast-paced, scaling startup. A genuine team player who's happy to roll up their sleeves and pitch in. Strong computer skills across Microsoft Word, PowerPoint, Excel, and Google Workspace.

Pay range and compensation package

Base salary of $60,000–$75,000, depending on experience
