Acting as the first point of contact for a senior executive, the Executive Assistant plays a critical role in enabling focus, flow, and effectiveness at the leadership level. This role requires exceptional judgment, discretion, and the ability to work seamlessly with a wide range of internal and external stakeholders.

You will be a trusted partner to the executive—managing complex schedules, preparing for meetings, coordinating travel, and handling correspondence—while bringing calm, clarity, and momentum to a fast-moving environment.

This is a contract position covering a maternity leave , ideal for an experienced Executive Assistant who enjoys ownership, variety, and working closely with senior leadership.

What You’ll Own

  • Executive calendar management: Proactively manage a complex and dynamic calendar with precision, anticipating conflicts, reallocating time, and ensuring priorities are reflected accurately.
  • Travel coordination: Plan and coordinate domestic and international travel, including detailed itineraries, time-zone management, conference logistics, and liaison with external travel agencies. Handle passports, visas, and required documentation.
  • Meeting preparation: Coordinate and prepare materials for internal and external meetings; ensure the executive is briefed, prepared, and positioned for success.
  • Administrative execution: Draft, edit, and manage correspondence and documents with a high degree of professionalism and confidentiality.
  • Expense and invoice processing: Submit expense reports and vendor invoices accurately and on time.
  • Priority tracking: Understand executive priorities, follow up on action items, and help drive completion of key deliverables.
  • Ad hoc support: Step in where needed to keep things moving smoothly.

What You’ll Bring

  • Proven experience as a senior-level Executive or Personal Assistant in a fast-paced corporate environment.
  • Strong organizational , time-management , and multitasking skills
  • Strong written and verbal communication skills, with the ability to engage confidently at all levels of the organization.
  • High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) .
  • A proactive, self-starting mindset with sound judgment and strong follow-through.
  • Absolute discretion and professionalism when handling confidential information.
  • A positive, “I can solve this” attitude and a natural ability to build trust and rapport.

The annual base salary for this job ranges from:

$55,000-$65,000
