The Opportunity:
The Property Administrator is responsible and accountable for the administration and management of resident accounts. They will report directly to the Manager, Property Administration, Residential and provide support to the management team for all aspects of the day-to-day activities for assigned residential buildings in the National (Canada) portfolio.
What You Will Do:
- Process daily resident adjustments including, but not limited to, move-ins, move-outs, incentives, chargebacks, refunds, deposit corrections
- Maintain rent rolls, resident ledgers, AR, LMR and Chargeback accounts
- Oversee administration functions in Yardi and ensure accuracy of lease information in system
- Review weekly internal receivables report with managers and site staff and ensure sites are communicating balances to residents
- Administer or assist with required legal documents (N1, N4, N5, N6) and files for legal action
- Prepare files for collection and follow up with Collection agency
- Prepare renewal list for Property Manager’s review and approval. Process and mail monthly rent increases
- Ensure timely posting of monthly rent roll
- LMR posting (Ontario) and if applicable, cancelling PAP. Coordinate with site team to ensure security deposit refunds for the western provinces are processed by 7 th of the month
- Verify notices of termination, skips and evictions are entered into Yardi correctly
- Review and process tenant Deposit Accounting upon move out information provided by the site
- Interest distribution applications to tenant ledgers
- Posting of NSF fees to resident accounts and provide notification to site
- Liaise with site staff and accounting to ensure appropriate information is received, recorded and provided as requested
- Handle site inquiries
- Process all invoices and related reports and systems within Accounting as assigned
- Assist accounting team with bank reconciliations, including following up on uncashed cheques
- Assist in year-end audit
- Handle all inquiries and feedback professionally and courteously, ensuring a high level of customer service is maintained through regular contact with teams
- Identify and recommend process improvements to the Residential Property Administration
- Embrace and pro-actively support BGO's culture of environmental sustainability, and corporate and social responsibility
- Other duties as assigned by Manager, Property Administration, Residential
Who You Are:
- Education: Minimum 6 months of post-secondary education in related field
- Experience: 5+ years of residential experience with a strong financial acumen; ability to analyze and interpret Company policies and procedures as well as relevant Acts and Legislation
- Relationship Skills: Superior oral and written communication and presentation skills; ability to develop and sustain cooperative working relationships, ability to exercise confidentiality and excellent customer service skills
- Organizational/Multi-Task Skills: Ability to allocate one's time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands, competing priorities and adapt to new ideas and constant changes; a highly organized individual who has an eye for detail and accuracy
- Computer Skills : advanced skills in Microsoft Office, Word and Excel; working knowledge of Yardi accounting system
- Police Clearance: A criminal verification check is required for employment.
The Expected Base Pay Range: $30.00/hr - $32.00/hr. The Base Pay range is for the primary location for which the job is posted.
