The purpose of this position is to provide administrative support and secretarial coordination to the medical services team for Custody Programs. This position reports to the Nurse Manager of Community and Correctional Services. The Medical Administrative Support Worker will be responsible for creating and maintaining offender medical files, scheduling appointments internally and externally as part of release planning, as well as gathering and maintaining statistical information for reporting. This position requires a high degree of discretion and judgment as well as strong interpersonal and communication skills.

Duties will include but are not limited to:

  • Maintain office supplies inventory by checking stock and ordering new supplies as needed;
  • Answer and direct phone calls, take messages, and handle correspondence;
  • Participate in various meetings and committees (i.e. responsible for documentation and preparation of minutes, distribution of requested documentation, etc.);
  • Maintain stock of medical forms, supplies, and administrative materials;
  • Process requisitions for medical equipment repairs, ordering, or replacement;
  • Assist medical staff by preparing charts for daily clinics, rounds, and urgent assessments;
  • Request and track outstanding medical tests, screens, referrals, and follow‑up care, bringing overdue items to the attention of medical staff;
  • Receive and triage medical services requests;
  • Communicate with a variety of health care professionals to set up necessary appointments and services for patients;
  • Coordinate internal medical appointments with nursing and security staff, ensuring availability of space, equipment, and required personnel;
  • Update appointment calendars and communicate changes to medical staff, correctional officers, and external providers;
  • Create, maintain and securely store offender medical files in accordance with privacy legislation and correctional centre protocols;
  • Ensure timely filing of laboratory results, consult notes, prescriptions, and incident related medical documentation;
  • Maintain filing systems, both electronic and physical;
  • Maintain accurate electronic entries in offender management and medical databases;
  • Maintain accurate filing system for all patient files and documents;
  • Maintain file retention schedule;
  • Provide storage and ensure destruction of files in accordance with the Classification Plan and Retention Schedule Manual (CPRS);
  • Collect and record health‑related intake information from medical staff for new admissions of offenders and ensure files are created promptly;
  • Support release planning by coordinating necessary medical appointments, medication continuity, and file transfers to community health providers;
  • Prepare medical summaries or file packages for transfer to other facilities including federal penitentiaries, psychiatric hospitals, etc. when an offender is relocated;
  • Other duties as required.

Minimum Qualifications:

  • Successful completion of Grade 12 supplemented by a Medical Support Services program, Office Studies or related program with a course in medical terminology;
  • Previous work experience dealing with the public in an administrative support capacity;
  • Demonstrated equivalencies will be considered;
  • Excellent verbal and written communication skills;
  • Knowledge and experience with computer and software programs (Microsoft Office Suite, Fact 7 System, Offender Management Systems);
  • Strong analytical and problem-solving skills and demonstrated ability to work independently;
  • Knowledge of the methods, techniques and practices involved in inputting, sorting and extracting data.

Other Qualifications:

  • Considerable experience working in a system-oriented work environment would be considered an asset;
  • Knowledge of the Correctional Services Act, the Criminal Code of Canada, the Controlled Drugs and Substances Act, and the Food and Drug Act would be considered an asset.
