About the Role
The Environmental Assessment and Stewardship Branch is seeking a highly organized and detail-oriented administrative professional to join us in the role of executive administrative assistant. The branch is responsible for delivering regulatory and operational expertise to ensure economic development and waste stewardship programs are managed in an environmentally sustainable manner. This position plays a critical role in supporting the Executive Director and team by planning, coordinating and building relationships across the branch and ministry.
Responsibilities:
- Manage the Executive Director’s calendar through collaboration, prioritization and scheduling;
- Monitor and prioritize emails, and redirect requests to other team members as appropriate.
- Assemble briefing and background materials in preparation for meetings;
- Plan, schedule, and coordinate logistics for meetings, training sessions and other events;
- Support the staffing and human resource requirements of the management team;
- Monitor processes and make improvements across the branch to ensure optimum efficiency;
- Draft, proofread and/or edit a variety of correspondence in accordance with the Government of Saskatchewan visual identity standards;
- Coordinate and participate in management and project meetings by distributing agendas, recording minutes and tracking follow-up items;
- Maintain filing and records management systems;
- Budget forecasting and accounts payable procedures; and
- Order supplies and handle office equipment repairs and furniture replacement.
Ideal Candidate:
As our ideal candidate, you will demonstrate your ability to deal with confidential and sensitive information in a management setting and independently organize/prioritize the completion of multiple tasks. You will be adaptable in order to meet new challenges as they arise.
To be successful in this role, you must be a strong collaborator, demonstrate high levels of initiative and take responsibility for tasks from start to finish. You must be an exceptional communicator, both verbally and in writing.
Typically, the knowledge for this position would be obtained through a combination of formal education in business or office administration, combined with senior-level administrative and financial work experience, and experience using a variety of computer software applications, such as Microsoft Office Suite, including SharePoint. Project coordination experience is considered an asset.
