Position Summary Admin Assistant - OBGYN In this position you will work as an Administrative Assistant to the Chief of Obstetrics and primarily support the Chief's Clinical Practice. In addition, you may be needed to assist in supporting departmental needs such as call schedules and departmental meetings. You will have the accountability for visibly role modeling the values and attributes of staff working in a hospital focused on quality, safety, risk, and patient- and family- centered care. In this position you will support the Hospital’s academic mandate of advancing care through teaching and learning. This position contributes to the shared responsibility of ensuring health and safety policies are followed to provide for a healthy environment for staff, physicians, volunteers, learners, patients, and families. You have great interpersonal skills, and prioritize making a connection with physicians, staff, patients, and families. On a practical level, you will
- Provides specialized clinical administrative support using demonstrated judgement, initiative and independence to assist the Chief of Obstetrics in caring for their obstetrical and gynecologist patients.
- Provide administrative support when needed to members of the Department of Obstetrics
- Assist in managing departmental meetings and On-call schedules when needed
- Coordinate and plan meetings including preparation of documentation of agendas, minutes, work plans and project charters, and room set up as needed
- Manages confidential information in a sensitive and professional manner
- Comply with Occupational Health and Safety Standards
- Performs other duties as required.
Qualifications
- Undergraduate degree preferred.
- Secretarial Courses or diploma or certificate in Office Administration.
- Knowledge of office and management principles.
- Ability to utilize standard office equipment and order routine supplies.
- Knowledge of Medical terminology an asset.
- Demonstrated knowledge of computer software, e.g., Word, Excel, PowerPoint, Access, Visio.
- Knowledge of computer applications, i.e., word processing, spreadsheets, graphics
- Electronic Medical Records experience preferred
- At least three years in a secretarial position with administrative experience
- Extensive calendar management experience
- Excellent organizational and problem-solving skills: able to organize/plan ahead i.e. committee work
- Excellent written and verbal communication skills.
- Excellent interpersonal and customer service skills.
- Develop reports and PowerPoint presentations as required.
- Ability to work independently.
- Accurate minute taking skills, filing.
- Accurate keyboarding, word processing skills - minimum 55 wpm.
- Ability to prioritize, multi-task and effectively manage time and balance schedule of Program Directors.
- Resourcefulness and ability to adapt in response to Program’s needs.
- Flexible with schedule.
- Bilingualism in French/English preferred.
