About The Role We are hiring a highly capable, execution-focused Coach Success Programs & Events Lead to serve as the operational engine behind our Coach Success initiatives.
This role owns the coordination, delivery, and follow-through of Coach Success programs, conferences, regional events, and leadership priorities. It blends program management, event leadership, executive administrative support, and project execution into one high-impact position.
This is not a reactive administrative role. The ideal candidate brings structure to complexity, thrives in fast-moving environments, anticipates needs, and ensures initiatives are pushed across the finish line with professionalism and precision.
You Might Be a Fit If You
- Have 5+ years experience in program management, executive administration, operations, or senior administrative leadership
- Are highly organized, systems-oriented, and execution-driven
- Have experience coordinating large-scale events, conferences, or multi-session programs
- Are comfortable managing multiple stakeholders, shifting priorities, and tight timelines
- Communicate clearly and professionally in both written and verbal formats
- Are confident using operational tools such as Monday.com, Google Workspace, Zoom, and learning platforms
- Take ownership for outcomes, not just tasks
- Thrive in environments where accountability, follow-through, and calm leadership matter
Experience in coaching, education, professional services, or franchise-based organizations is considered a strong asset.
Key Responsibilities
Program Execution & Coordination
- Own operational execution of Coach Success programs including Master Coach Program, Coach Programs, Masterminds, Focus Groups, and strategic initiatives
- Translate quarterly and annual priorities into executable project plans
- Manage timelines, assets, dependencies, and stakeholder coordination
- Track progress against milestones and ensure accountability across initiatives
Conference & Event Leadership
- Lead end-to-end execution of annual conferences and regional events
- Manage timelines, logistics, vendors, speaker schedules, run-of-show planning, and registration workflows
- Coordinate pre- and post-event deliverables including recordings, assets, communications, and library updates
- Serve as the central operational owner for event delivery quality and consistency
Executive Administrative & Leadership Support
- Provide high-level administrative support to Coach Success Leadership
- Manage meeting cadence, agendas, follow-ups, and documentation
- Coordinate leadership calendars, strategic calls, and travel logistics as needed
- Prepare materials and documentation that support effective decision-making
Project Management & Metrics
- Own Coach Success project tracking within Monday.com
- Maintain visibility into priorities, deadlines, dependencies, and execution status
- Support reporting on deliverables, timelines, and performance metrics
- Help establish and maintain quarterly and annual execution rhythms
Program Partnerships & Third-Party Coordination
- Coordinate third-party programs and licensing relationships
- Manage communications, scheduling, assets, and library updates
- Support Master Coach coordination and partner program workflows
Systems, Communication & Process Improvement
- Serve as an internal communication hub for Coach Success initiatives
- Maintain accuracy and organization of shared resources and recordings
- Identify workflow gaps and opportunities for operational improvement
- Recommend and implement systems enhancements that improve clarity and scale
