Our client is seeking a Workplace Services Professional to support the day-to-day operations of its Toronto office. Working closely with the Workplace Services Manager, Workflow Coordinator, Receptionist, and other service delivery teams, this role helps ensure the workplace remains organized, welcoming, safe, and fully operational.
The ideal candidate is customer-focused, detail-oriented, and enjoys working in a fast-paced office environment. This position provides a combination of workplace services, facilities support, office maintenance, and reception/mailroom coverage as needed.
Key Responsibilities
Workplace Operations ● Collaborate with the Workplace Services team to support daily office operations ● Conduct scheduled workplace walkthroughs throughout the day to inspect: ○ Workstations ○ Meeting rooms ○ Kitchens ○ Print rooms ○ Common areas ● Identify, document, and report maintenance or operational issues ● Maintain clean, organized, and professional office spaces
Customer Service
● Deliver exceptional customer service to employees, clients, and visitors ● Foster a welcoming and professional workplace environment ● Respond promptly to workplace requests and support inquiries
Office & Facilities Support
● Reset meeting rooms and shared workspaces ● Collect dishes from shared areas and load café dishwashers ● Restock office, kitchen, print room, and general workplace supplies ● Assist with office supply inventory management and distribution ● Support mailroom and reception coverage as required
Health & Safety
● Monitor workplace safety by ensuring emergency equipment and exits remain accessible ● Report spills, damaged furniture, lighting, HVAC, and other facility issues ● Support health and safety inspections and initiatives ● Update workplace signage and assist with compliance activities
Administrative Support
● Follow established office procedures and workplace standards ● Complete general clerical and administrative tasks accurately ● Assist with documentation and operational reporting as needed
Required Qualifications
● 1–2 years of experience in: ○ Workplace Services ○ Facilities ○ Customer Service ○ Hospitality ○ Office Administration ○ Event Services ● Excellent customer service and interpersonal skills ● Strong verbal and written communication skills ● Intermediate proficiency with: ○ Microsoft Word ○ Microsoft Excel ○ Microsoft Outlook ● Ability to multitask and work effectively in a team environment ● Ability to lift up to 50 pounds ● Flexibility to work scheduled shifts between 7:00 AM and 5:30 PM
Preferred Qualifications
● Experience using ServiceNow ● Experience supporting facilities operations within a corporate office ● Knowledge of workplace health and safety practices ● Experience providing reception or mailroom support
