About the role

Job Description RESEARCH INSTITUTE OF THE MUHC The Research Institute of the McGill University Health Centre (RI-MUHC) is a world-renowned biomedical and hospital research centre. Located in Montreal, Quebec, the Institute is the research arm of the McGill University Health Centre (MUHC) affiliated with the Faculty of Medicine at McGill University. The RI-MUHC is supported in part by the Fonds de recherche du Québec - Santé (FRQS).

Position Summary Under the supervision of the Lead, SAIL and CTB Business Relations at the RI-MUHC, and in accordance with institutional policies, the incumbent will be responsible for the planning, coordination, and administrative management of preclinical studies conducted within SAIL and the CTB Technology Platforms.

The incumbent will serve as the central point of contact between internal teams, external collaborators, and clients, ensuring that study timelines, deliverables, and compliance requirements are met. This role involves administrative, operational, and at times hands-on technical support to assist with multimodality imaging projects (e.g., PET, SPECT, MRI, ultrasound, optical fluorescence, SWIR, DXA, X-ray) from study design through data delivery.

General Duties Project Coordination & Planning

  • Coordinate all aspects of imaging and pre-clinical projects, from initiation to completion, ensuring milestones are met,
  • Work with investigators and CTB platform staff to develop study timelines, workflows, and deliverables,
  • Prepare project schedules and monitor progress against timelines, providing updates to stakeholders,
  • Ensure resource allocation (instrument time, staff, animal housing) is aligned with project needs.

Administrative & Compliance Support

  • Assist in the preparation, submission, and tracking of Animal Use Protocols (AUPs), amendments, and renewals,
  • Assist in the preparation of Statement of Works (SOWs), Master Services Agreements (MSAs) and project financial estimates,
  • Maintain project documentation, including study protocols, SOPs, meeting notes, and correspondence,
  • Ensure adherence to institutional and regulatory requirements for animal welfare and biosafety.

Client & Collaborator Liaison

  • Serve as primary point of contact for clients and collaborators throughout the project lifecycle,
  • Schedule and facilitate project meetings, providing clear communication on requirements and timelines,
  • Coordinate facility tours, demonstrations, and presentations for prospective collaborators.

Operational & Hands-On Study Support

  • Liaise with CTB technical staff to ensure readiness of equipment and availability of required consumables/reagents,
  • Provide hands-on animal work support as needed, including animal preparation, anesthesia induction and monitoring, and post-procedure care, in compliance with animal welfare protocols,
  • Assist with basic imaging tasks under the guidance of platform technologists,
  • Track project-related costs and assist with budget preparation and invoicing,
  • Support data packaging and delivery, ensuring completeness and accuracy,
  • Assist in the organization of training sessions for collaborators and new staff on platform workflows.

Other Duties

  • Maintain accurate project records for reporting and auditing purposes,
  • Participate in quality improvement initiatives for project management processes,
  • Perform other related tasks as assigned by the Lead, SAIL and CTB Business Relations.

Education / Experience Education: Doctorate Degree

Field of Study: Life Sciences

A secondary degree/certificate in business is an asset.

Work Experience: 2 years

Required Skills

  • Strong organizational and time-management skills,
  • Excellent communication skills in English and French, spoken and written,
  • Proficiency with Microsoft Office Suite, experience with project management tools (e.g., MS Project, Trello, Asana) an asset,
  • Ability to work both independently and collaboratively,
  • Knowledge of preclinical imaging workflows and/or animal research environments is an asset,
  • Comfortable with basic animal handling procedures and willing to be trained for hands-on work.

Additional Information Status : Temporary Full-Time (35-hour workweek)

Pay Scale : $79,548 - $103,412.40 Commensurate with education & work experience

Work Shift : Monday to Friday 8:00am to 4:00pm

Work Site : GLEN Site, 1001 boul. Decarie
