JOB SUMMARY

Reporting to the Project Manager, the Project Coordinator, Co-op supports the planning, execution, and closeout of construction projects to ensure work is delivered safely, on schedule, within scope, and on budget. This role coordinates field operations, documentation, scheduling, and stakeholder communication while proactively identifying risks, constructability concerns, and cost impacts.

RESPONSIBILITIES

  • Compile required information and submit utility locate requests, ensuring locates remain valid prior to scheduling any work.

  • Prepare complete job packages in accordance with operational requirements to support scheduling and mobilization, coordinating required labour, equipment, and materials internally and externally.

  • Conduct site investigations alongside construction drawings to identify constructability concerns, safety hazards, and site constraints before work is scheduled.

  • Maintain regular communication with Foremen to support project handoff, progress reviews, and post-work follow-up.

  • Complete a project summary upon new contract assignment, including review and interpretation of drawings, tenders, and specifications as they relate to the company’s scope of work.

  • Support short- and long-term forecasting to ensure appropriate resource planning and availability.

  • Attend site meetings with clients, subcontractors, and other stakeholders as required.

  • Assist in coordinating multiple projects of varying size and complexity concurrently.

  • Perform quality control reviews and identify deficient workmanship or materials; support preparation of non-conformance documentation where required in accordance with applicable guidelines.

  • Prepare monthly payment certificates and track daily project progress using quantity reporting for both unit-based and lump-sum contracts.

  • Submit requests for information (RFIs), compensation requests, and supporting documentation, including pricing for extra work or scope changes.

  • Assist the Project Manager with claims management and extension-of-time (EOT) assessments by compiling supporting documentation and escalating unusual site occurrences.

  • Maintain accurate document control by ensuring job folders are current, properly filed, and include all mobilization and contract documentation, with the latest revisions in use.

  • Perform other related duties as assigned to support successful project delivery.

QUALIFICATIONS

  • Currently enrolled in an accredited Ontario post-secondary diploma or degree program (e.g., Civil Engineering, Construction Management, or related discipline) with a mandatory co-op placement requirement.

  • Previous construction experience is considered an asset.

  • Prior experience in a coordination or project support role is an asset.

  • Exposure to transportation or public-sector infrastructure projects is an asset.

  • Demonstrated time management, scheduling, and organizational skills with the ability to manage competing priorities.

  • Strong communication skills with a results-oriented mindset and effective problem-solving abilities.

  • Ability to remain adaptable and organized in a fast-paced, changing work environment.

  • Proficiency in Microsoft Office; experience with Jonas or similar project management/ERP systems is an asset.

  • Valid G driver’s license with a clean driving record.

  • Previous supervisory or leadership experience is considered an asset.
