From employee celebrations to tradeshow execution, financial support, and travel logistics, this role is at the heart of making sure nothing falls through the cracks.
Key Responsibilities
Company Coordination & Culture
- Plan and manage company events, from birthdays and work anniversaries to team celebrations and milestones.
- Coordinate company merchandise, branding initiatives, and employee engagement activities.
- Order and maintain office supplies and groceries to support daily operations.
- Support employee travel arrangements and accommodations to ensure smooth, cost-effective experiences.
Project & Event Management
- Drive planning and execution for tradeshows, conferences, and large-scale corporate events.
- Create timelines, assign owners, and follow up to keep projects on track.
- Work cross-functionally with finance, legal, operations, product, and marketing to ensure alignment.
- Provide progress updates and reporting directly to the CEO and leadership team.
Finance & Bookkeeping Support
- Assist with day-to-day bookkeeping, including handling bank-related tasks and expense tracking.
- Work closely with finance to ensure accuracy and timeliness in reporting and reconciliations.
- Maintain organized records to support financial oversight and company compliance.
Operational Support
- Anticipate needs and solve challenges before they become issues.
- Act as a reliable point of contact between teams and leadership.
- Handle sensitive and confidential matters with discretion.
- Keep operations running smoothly by staying organized and proactive.
What We’re Looking For
- Proven experience in project coordination, operations, or office management.
- Strong communication skills with effective follow-up strategies.
- Self-starter who can organize, prioritize, and manage multiple tasks independently.
- Experience in booking employee travel and accommodations.
- Some bookkeeping or financial administration experience, especially with banking and expenses.
Nice-to-Haves
- Experience in a startup or high-growth company.
- Familiarity with project management tools (Asana, Trello, Notion, etc.).
- Background in healthcare, tech, or operations.
