Job Summary The Research Coordinator, Community and Seniors Care, supports the Vancouver Costal Health (VCH) Community Services team in advancing the regional Small Care Homes initiative. This role ensures the smooth implementation and evaluation of research activities from planning through delivery. The Research Coordinator plays a critical role in coordinating all aspects of the research study, ensuring timely, efficient, and compliant execution of study-related tasks while fostering collaboration among research staff, clinical teams, and partners.

Organizational Status Vancouver Coastal Health Research Institute (VCHRI) is the research arm of Vancouver Coastal Health (VCH) and a health partner of the University of British Columbia (UBC). We are a significant part of B.C.’s health research industry and a major health research institute in Canada.

The position reports to the Executive Director, VCHRI and with day-to-day functional reporting to the Regional Research Lead, Community and Seniors Care and works closely with all staff within the VCHRI administration team.

Work Performed

  • Conducts in depth literature reviews and content analysis.
  • Assist with creating and maintaining study documents (e.g., protocols, questionnaires, consent forms, data collection forms, study posters). Assist with development and implementation of study surveys, focus groups and interviews.
  • Support start-up and maintenance of study approvals, including operational approvals and Research Ethics Board (REB) applications, amendments, and renewals.
  • Participate in research dissemination, including annual reports, academic publications, and conference presentations.
  • Implement and maintain data collection and analysis systems; analyse participant data using tools such as REDCap/SharePoint to ensure accuracy and integrity.
  • Monitor research progress, maintain records, and prepare periodic reports for investigators, administrators, funders, and regulatory bodies.
  • Act as a liaison between the research team and health authority staff and clinicians to establish and coordinate study operations.
  • Oversee and conduct daily study operations, including recruitment, informed consent, visit scheduling, operational problem solving, and initiatives to enhance enrollment and retention. Inform study participants on protocol requirements, schedules, and data collection tools.
  • Assist the Regional Research Lead in planning and coordinating research study initiation processes, including organizing team meetings, drafting meeting minutes, and following up on next steps.
  • Maintain meticulous documentation, including training logs and standard operating procedures, ensuring strict adherence to study protocols.
  • Ensures all research coordination activities are conducted in compliance with Tri‑Council Policy Statement (TCPS2), VCHRI SOPs, Good Clinical Practice (GCP) where applicable, and relevant regulatory and institutional requirements.
  • Travel to small care home sites within the Lower Mainland, BC to conduct engagement and research-related activities.
  • Actively contribute in research team meetings, provide regular updates, and ensure timely communication of issues or adverse events to the Regional Research Lead.
  • Coordinate monthly community advisory group meetings, including planning and communicating with people with lived experience, administering honorariums, and supporting onboarding of new members.
  • Assist with event planning for engagement sessions, open houses and other activities, including booking spaces, coordinating refreshments, creating and printing materials, and arranging travel plans.
  • Support and foster an environment for scientific data integrity to protect participant rights and safety in compliance with the Tri-Council Policy Statement.
  • Prepares and processes financial transactions, such as travel claims and expense reimbursements.
  • Perform other related duties as assigned.

Consequence of Error/Judgement The Research Coordinator is required to conduct all research activities in an ethical manner and with adherence to applicable research and institutional policies and standards. Any procedures or data recorded must be accurate and must accurately reflect the work performed. Strict confidentiality must be adhered to at all times. This position acts with considerable independence although close communication and coordination with the research team is essential. The incumbent’s doings and demeanor reflect on research done at UBC. Poor decisions or errors may cause loss of reputation for the research team, VCHRI and UBC.

Supervision Received Oversight will be provided by the Executive Director, VCHRI with day-to-day supervision provided by Regional Lead, Community and Seniors Care.

Supervision Given This position does not include supervision of other staff.

Minimum Qualifications Completion of a relevant technical program or a university degree in a relevant discipline and a minimum three years of related experience or an equivalent combination of education and experience.

Preferred Qualifications

  • Master’s degree in health sciences or related discipline, plus at least three (3) years’ recent, related experience in research environment.
  • Familiarity with research planning and approval process is essential. Familiarity with clinical, administrative, and/or research environments.
  • Demonstrated knowledge of research ethics including research confidentiality and privacy.
  • Demonstrated exceptional program coordination and volunteer management skills.
  • Demonstrated ability to plan and organize work effectively, and support project management activities.
  • Demonstrated excellent verbal and written communication skills with a variety of audiences.
  • Demonstrated ability to read, analyze, and interpret information from scientific literature.
  • Familiarity with data storage and analysis systems such as SPSS, RedCap, SharePoint, NVIVO is an asset.
  • Demonstrated knowledge of research methodology including qualitative, quantitative, and statistical methods is an asset.
  • Develops and maintains strong relationships with key internal and external partners to promote and enhance services provided with sensitivity to diversity and indigenous lens.
  • Practices the recognition, inclusion and support of all types and aspects of diversity at all stages of engagement, with an understanding of the issues faced by people from equity-deserving groups.
  • Demonstrated ability to work independently and as part of an interdisciplinary team.
  • Demonstrated ability to prioritize competing demands to meet deadlines.
  • Computer competency including proficiency in Microsoft Office (Word, Excel, and PowerPoint) at an intermediate level.
  • Physical ability to perform the duties of the position.
