Role Overview

Durwest is seeking a Project Coordinator to support the successful planning and delivery of projects from the preconstruction phase through construction. The position plays a vital role in project organization, documentation, coordination, and communication, ensuring the right information is available to the right people at the right time.

In this role, you will work closely with the Durwest Preconstruction and Operations teams, ETRO project teams, and other key stakeholders to help guide projects through setup, design development, and tendering while ensuring construction documentation is accurate, current, and accessible. As part of the joint venture partnership, there will be opportunities to collaborate with ETRO teams and systems, including some travel to Vancouver during onboarding to support learning and integration.

You will be responsible for coordinating workflows, managing key project documents and logs, and supporting the team in delivering well-organized, high-performing projects. Your work will help maintain momentum across project milestones and reinforce our commitment to quality, communication, and client satisfaction.

Key Focus Areas

PRECONSTRUCTION THROUGH CONSTRUCTION PHASES

Project Setup + Coordination

  • Coordinate project setup across SharePoint, BuildingConnected, Procore, and Microsoft Teams, ensuring clear file structures and appropriate team access.

  • Schedule and support internal preconstruction meetings, preparing agendas, meeting minutes, and tracking follow-up actions.

  • Maintain organized project documentation, logs, and communication records to support transparency and team alignment.

  • Assist the preconstruction team with general project coordination and administrative support throughout the preconstruction phase.

Cost Planning + Budget Management

  • Assist in the preparation and organization of Class D through Class A estimates, including supporting documentation and estimate breakdowns.

  • Perform quantity takeoffs and scope markups from drawings and specifications to support estimators and the preconstruction team in developing accurate cost plans.

  • Maintain organized estimate files, pricing documentation, and cost planning records.

  • Track and submit preconstruction hours accurately to support internal budget and resource tracking.

  • Support value engineering documentation and maintain logs of cost-saving opportunities and design alternatives.

Constructability + Design Coordination

  • Maintain and update project risk logs, design decision logs, and constructability review checklists.

  • Support the coordination of consultants, designers, and internal stakeholders during design development.

  • Assist with preparation of site logistics plans, phasing strategies, and traffic management documentation.

  • Attend design coordination meetings, record notes, distribute minutes, and track outstanding design actions

Tendering + Trade Coordination

  • Support the preparation and issuance of tender invitations, RFQs, and addenda to subcontractors and suppliers.

  • Maintain bid tracking logs, monitor bid submissions, and support subcontractor follow-up during tender periods.

  • Assist with reviewing bid submissions for completeness and organization.

  • Prepare draft Letters of Intent (LOIs) and assist with organizing trade award documentation.

Construction + Stakeholder Coordination

  • Coordinate and manage shop drawings, and submittals – ensuring timely review, distribution, and tracking in Procore

  • Support drawing updates, markups, and consultant-issued Site Instructions and field reviews

  • Maintain and update drawing and specification logs, and submittal schedules

Project Close-Out

  • Coordinate project close-out documentation including O&M manuals, as-built drawings, warranties, and occupancy certificates

  • Prepare and maintain the close-out calendar and checklist and track key milestones and contractual requirements

  • Assist with warranty documentation and ongoing communication during the warranty period

You are a proactive and organized project professional with a passion for construction and collaboration. You thrive on bringing clarity to complex processes, supporting technical teams, and ensuring project details are well managed and executed. You are tech-savvy and adaptable. You’re comfortable working in a dynamic environment, able to discern priorities and get deliverables to project stakeholders quickly, enabling the team to deliver high-quality work.

Qualifications

  • 2–4 years of experience in a project coordination or construction support role, ideally within commercial, institutional, or multi-family residential projects

    • Field experience such trades training would be considered as equivalency
  • Understanding of construction documents, drawings, and specifications

  • Proficiency with Microsoft Office Suite (specifically Excel and Project)

  • Strong organizational, communication, and time management skills, with a keen eye for detail

Considered an Asset

  • Skilled in BIM/Revit

  • Experience with Procore, Bluebeam, and OST (On Screen Takeoff), CM Builder

  • Diploma or certificate in construction management or a related field
