About the Role

Are you an hyper-organized professional who gets genuine satisfaction from a zero-inbox, precise calendar control, and clean data tracking? We are looking for a sharp, process-driven Operations & Estimating Coordinator to manage our inbound project pipeline. In this role, you will act as the air traffic controller for our estimating department—ensuring zero missed opportunities, logging customer requests with 100% accuracy, tracking team KPIs, and keeping executive schedules flawlessly organized. You will be the bridge between inbound trade/architectural leads, our estimating team, and management.

Key Responsibilities

Pipeline & Inbox Management: Receive, triage, and log incoming service/estimation requests in real time. Ensure no lead or opportunity is lost in the email shuffle. (Smartsheet) Data & KPI Tracking: Collect data across internal estimating worksheets, update master performance dashboards, and monitor team performance metrics. Workflow & Schedule Dispatch: Assign estimating tasks to technical team members based on capacity and enforce strict deadline requirements. Calendar Mastery: Actively manage and protect executive calendars—scheduling client handoffs, deep-work blocks, and meetings without double-booking. Client & Team Relations: Serve as a warm, professional, and pleasant first point of contact for clients, contractors, and internal partners.
