Summary Execaire Aviation is looking for an Operations Coordinator to grow their team, this person will provide technical assistance to the manager of operations under the direction of the director of flight operations supporting the operations team, the chief pilots and the maintenance team.

In this role, you will be involved in the onboarding and retirement of aircraft, assisting with regulatory submissions, managing documentation, and coordinating operational processes. You will also provide administrative and technical support across the team, helping prepare manuals and supporting audits and quality assurance initiatives. This is a highly visible position where attention to detail, organization, and initiative are critical, offering exposure to multiple facets of flight operations and the opportunity to contribute to the compliance, safety, and efficiency of Execaire’s aviation operations.

Responsibilities Aircraft Onboarding & Offboarding The coordinator will support the introduction of new aircraft by managing the research, documentation, and regulatory submissions required for their entry into service. This includes coordinating with authorities such as Transport Canada, FAA, and TCO, and ensuring all aircraft documents, licenses, insurance, and related records, are accurately prepared and distributed.

Quality Assurance, Regulations and Processes The coordinator will support the operations team in maintaining regulatory compliance by assisting during audits, tracking findings and deadlines, and ensuring timely submissions to auditors. They will manage updates to operational manuals, track AFM amendments, review new regulations for applicability, and coordinate research with suppliers to prepare key documents such as Operator MELs. Strong proficiency in process writing is required, as the role involves drafting, updating, and maintaining clear and accurate operational procedures.

Administrative Support The coordinator will provide administrative and operational support across the flight operations team, including preparing meeting agendas, taking minutes, and following up on action items. They will coordinate updates to manuals with subject matter experts and assist Chief Pilots, all Execaire Aviation’s pilots, the Safety Manager, and other stakeholders as needed.

Requirements

  • College degree (required)
  • Bilingual, with strong proficiency in English
  • 3–5 years of aviation experience, preferably in operations or safety management
  • Experience with Safety Management Systems (SMS) and regulatory compliance
  • Excellent computer and software skills
  • Strategic and creative thinker with a proactive approach to problem-solving
  • Able to thrive under pressure and manage multiple priorities simultaneously
  • Collaborative team player who takes initiative and drives results
  • Detail-oriented and process-driven
  • High level of organization and documentation accuracy
  • Can take ownership of tasks and follows through to completion with minimal oversight.
