Operations Coordinator
📍 Location: Downtown Montreal 🏢 Industry: Luxury Residential & Commercial Real Estate
About the Role
We are looking for an experienced and highly organized Operations Coordinator to become a key partner within our growing real estate team.
This is a hands-on role for someone who thrives on organization, takes ownership, and enjoys improving processes. You will oversee daily operations, support the leadership team, and ensure transactions and administrative workflows run smoothly.
You will be the person who keeps everything moving — anticipating needs, solving problems, and ensuring every detail is handled with care.
What You’ll Be Responsible For
Real Estate Operations Manage and follow up on real estate transactions from start to finish. Coordinate with brokers, clients, notaries, banks, inspectors, and other partners. Ensure deadlines, documentation, and follow-ups are completed accurately.
Office & Process Management
Organize priorities and improve daily workflows. Create and maintain efficient processes and tracking systems. Ensure files and documentation are organized and up to date.
Team Support & Leadership
Support and guide administrative team members. Help prioritize workloads and maintain quality standards. Promote a culture of organization, accountability, and efficiency.
Executive Support
Act as a trusted partner to leadership. Prepare meetings, track action items, and ensure follow-through. Help the team stay focused on delivering an exceptional client experience.
What We’re Looking For
5+ years of experience in operations, administration, or office coordination. Previous experience in real estate is required. Strong organizational skills with excellent attention to detail. Ability to manage multiple priorities in a fast-paced environment. Proactive mindset with strong problem-solving skills. Natural leadership abilities and excellent communication skills. Bilingual in French and English.
What We Offer
Full-time, permanent position. Monday to Friday schedule (9:00 AM – 5:00 PM or 10:00 AM – 6:00 PM). Competitive salary based on experience. Group insurance benefits. Vacation time. Beautiful downtown Montreal offices. Opportunity for growth within a dynamic and collaborative team.
