Job Description
The Equity and Inclusion Office (EIO), under the auspices of the Vice Provost, Equity and Inclusion, has a wide-ranging responsibility to collaborate with both campus and community partners. As well as ensuring that the university is compliant with government directives. Our mandate includes identifying and resolving equity and inclusion issues, providing advisory services, promoting awareness and education on accessibility, equity, and inclusion, and facilitating the implementation of policies and practices that ensure fair and timely resolution of incidents related to harassment, discrimination, and sexual violence, including investigation services.
Job Summary
This position will support the implementation of the major projects and initiatives across the four significant areas of concentration in the Equity and Inclusion Office: Human Rights and Dispute Resolution, the Sexual Violence Prevention Response Office (SVPRO), Accessibility and Disability Inclusion, and Equity, Inclusion and Anti-Oppression. The Project Coordinator coordinates multiple concurrent projects, meeting high quality standards, budget constraints, and timelines. They are responsible for supporting the development, planning and efficient operation of the EIO and its related programs, and coordinating all aspects of our programs including administration, implementation, promotion, and resource, and financial management. They will assist with and maintain the efficient administrative coordination of the EIO and its related programs under the direction of senior staff. They support data informed strategic alliances between the projects and faculty, staff, student groups, and the greater community to create and maintain a culture of inclusion and belonging at McMaster.
Accountabilities
Project Coordination and Administration
- support multiple concurrent projects, meeting high quality standards and timelines. Assists in defining business processes, developing realistic goals and ensuring a smooth implementation to ongoing business operations.
- work with the Project Manager to define project components that must be completed to ensure the overall project goal is achieved.
- work with all project stakeholders, the advisory committee, and the Project Manager to obtain buy in and sign off to deliverables, timelines and implementation methods.
- track and report on project progress between milestones.
- work with the EIO Leadership to ensure that project work occurs within established budgets and timelines and communicate all issues or problems to the Project Manager.
- coordinate projects with our external partners
- receive and respond to time critical issues.
- suggest and communicate work priorities and determine the necessary resources for assigned projects and programs.
- participate on related committees and working groups.
- collect, analyze, assess, and summarize information relevant to the decision-making process and develop recommendations for final approval and implementation.
- provide front line service to faculty and staff by assisting with the implementation of the strategic plan, monitoring/completing periodic reviews, timelines for projects.
Communications
- cultivate and maintain relationships with campus partners and build partnerships with various stakeholders across the University and the greater community
- participate in the development, coordination, evaluation, and review of projects, programs and resources.
- develop relevant and quality resource information for the website and social networks.
- facilitate and participate in meetings with various individuals including, but not limited to, program stakeholders and groups. Follow up as necessary with respective or potential partners.
- write a variety of documents including, but not limited to, reports, correspondence and minutes.
- plan and coordinate a variety of events and activities such as conferences, seminars, meetings and workshops.
- provide recommendations for future communication strategies and events.
- collaborate with staff to plan and implement events and communication projects.
- create and update content on EIO website.
- respond to inquiries that are specific in nature and require a thorough knowledge of our programs products and services.
- support the creation of presentation materials.
- assemble, copy, collate, and distribute information and packages.
- establish and cultivate an online/digital presence and footprint for the EIO
- oversee the development, production, and maintenance of project communications tools. i.e. Websites, MS Teams, MS SharePoint, etc.
Data Collection and Reporting
- set-up, update, and maintain project records, electronic filing systems, and databases.
- collect and analyze data for purposes of evaluating results, communicating with partners and stakeholders, and informing future planning.
- update, verify, and maintain information in a variety of databases and spreadsheets.
- gather and compile information required for a variety of documents and reports.
Qualifications
Education:
- Bachelor’s Degree in a relevant field of study and/or equivalent combination of education and experience.
Experience:
- Requires 3 years of relevant experience, including experience: working in university contexts.
- Coordinating complex projects
Knowledge/Skills:
The successful candidate will have:
- Effective project coordination skills which demonstrated ability to manage multiple projects, setting priorities and organizing work to ensure projects meet deadlines.
- Good verbal and written communication skills with demonstrated ability to communicate complex ideas to a diversity of peoples and facilitate respectful discussions
- Proficiency with project management tools and software
- Strong organizational and time management skills.
- Demonstrated commitment to client service and professionalism when liaising with stakeholders
- Proficiency with computer platforms and software, including but not limited to: Microsoft software, data visualization and project management software, and Wordpress or web design interfaces.
- Ability to communicate clearly and effectively building trust and confidence
- Ability to move between tasks / projects effectively and efficiently.
- Familiarity with the legal, ethical, legislative and academic conventions that inform theory and practice in the principal areas supported by the EIO
- Knowledge of intersectionality in both theory and practice
The successful candidate will ideally have familiarity with:

Pay Transparency Statement
Hiring Range: $64,179 - $81,605
The posted hiring range represents McMaster's typical hiring range for this position. Actual starting salary will depend on factors such as relevant experience, qualifications, internal equity, and market conditions.
Individuals with extensive experience, deep specialized expertise, and/or those who can demonstrate exceptional past performance, as applicable, may be hired at a higher rate within the full range, in accordance with the University compensation policies.
