About the role

Position Overview:

Reporting to the Senior Manager, Capital Projects, the Coordinator, Capital Projects supports the planning and execution of small-scale capital projects and suite turnover activities across Osgoode’s residential portfolio. This entry-level role bridges operations and capital planning by overseeing smaller initiatives traditionally managed by site teams, ensuring consistency, compliance, and quality control. The role also supports the Senior Associate, with administrative, project tracking, and reporting duties to foster long-term succession planning.

Your new role and responsibilities:

Project Management Support

  • Coordinate and execute capital improvement projects—typically smaller in scale (e.g., under $50,000.00, but not limited to them—across multiple residential properties.

  • Administer the full project lifecycle, including scope definition, specification, tendering, scheduling, implementation, and close-out.

  • Plan and manage suite renovations, minor common area upgrades, equipment replacements, and support completion of post-project loose ends such as deficiencies, landscaping, or delayed components (e.g., holdbacks, ancillary items).

  • Participate in site tours to assess project requirements, validate progress, and confirm completion to company standards.

  • Support procurement and vendor coordination, including quote collection, job scheduling, and documentation of project close-out.

  • Ensure project activities are planned and tracked with appropriate input from key stakeholders, with attention to timelines and quality standards

Suite Turnover Oversight

  • Act as the central point of contact for suite turnover activities that involve capital input.
  • Develop and manage project timelines to ensure alignment with leasing and occupancy goals.
  • Oversee suite readiness, cleanliness, and quality standards prior to resident move-in.
  • Track and analyze turnover costs, trends, and vendor performance to inform continuous improvement.
  • Coordinate the completion of any outstanding work or deficiencies following turnover, ensuring units are delivered as promised.

Administrative and Reporting Support

  • Support the Senior Associate in maintaining comprehensive capital project documentation, including project logs, financial tracking tools, and contract records.
  • Assist with budget planning by creating project cost summaries and supporting financial forecasting efforts.
  • Support new vendor onboarding, purchase order creation, and invoice processing and review.
  • Contribute to annual capital planning by gathering data, drafting project proposals, and identifying opportunities based on historical performance and emerging needs.

Communication and Coordination

  • Serve as a liaison with internal departments (Operations, Leasing, Maintenance) to gather input, share updates, and ensure coordinated execution.
  • Communicate with residents regarding unit or building work, providing clear timelines and setting accurate expectations.
  • Attend internal capital planning and execution meetings, recording action items, decisions, and progress updates.
  • Ensure transparent communication and alignment across all stages of the project— from planning and budgeting to implementation and close-out.

Requirements for success:

  • College diploma or relevant coursework in business administration, construction, building science, or a related field.
  • 1–3 years of experience in property management, construction coordination, or project administration.
  • Excellent organizational skills with strong attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Comfortable visiting and working across multiple sites.
  • Effective communication skills, both written and verbal.
  • Knowledge of relevant Health & Safety legislation in Ontario, Alberta, and Quebec (e.g., OHSA, Alberta OHS Act, CNESST regulations).
  • Familiarity with WHMIS (Workplace Hazardous Materials Information System) standards and safe work practices

Desirable Skills:

  • Certified Engineering Technologist (CET) designation or working toward certification.
  • Experience with Yardi or other property management systems.
  • Working knowledge of Residential Tenancies Acts in Ontario, Quebec, and Alberta.
  • French language skills.

Working Conditions:

  • Must have a reliable vehicle (monthly car allowance is provided)
  • Travel to properties across Ottawa, Gatineau, Kingston and surrounding areas as required.

This is a permanent, full-time role with a hybrid work arrangement, based at our Ottawa Head Office, open to individuals living in National Capital Region. This posting is for a new position.
