Role Overview
Reporting to the HR Program Manager, the HR Coordinator supports the day‑to‑day operations of the Human Resources function. This role provides frontline employee support, administers the core HRIS, and assists with providing coordination and administrative support for the HR teams core programs and initiatives.
Role Responsibilities
Employee Support & Administration
- Provide support and response to business client groups on employee issues, including but not limited to the interpretation of organization policies & procedures, HR programs and strategies
- Provide timely and accurate responses to employee inquiries sent to shared HR mailboxes in alignment with defined SLAs; escalate or redirect as appropriate.
- Prepare employment letters and provide employment verification requests for current and former IFDS employees.
HRIS Administration & Employee Record Management
- Process employee lifecycle changes in the HRIS within required timelines and payroll cut-off dates, ensuring supporting documentation completeness and adherence to established processes.
- Maintains accurate, confidential, and up-to-date employee records in the HRIS as well as physical and digital employee files.
- Oversees management of off-site storage for historical files.
HR Coordination & Team Support
- Provide coordination and administrative support for HR programs, projects and team initiatives.
- Support the SVP, Human Resources with expense submissions and approvals, timesheet management, report preparation, and other administrative requirements.
- Maintain and update HR process guides, ensuring accuracy, and adherence to best practices. Identify opportunities for process improvement and support implementation efforts.
- Maintain and update the Human Resources Intranet (ROCK) Site including uploading documents and materials on behalf of content owners. Coordinate annual HR policy review and upload the associated content and materials.
- Ensure all documents on the shared drive are maintained accordingly.
HR Program Administration
Absence Management:
- Maintain employee absence entitlements in the corporate time-tracking system (iTT).
- Provide support to employees and managers regarding annual entitlements and system use.
- Administer the annual vacation entitlement and carryover processes in partnership with IT and the HR Program Owner.
Wellness Program:
- Partner with the HR Program Owner and Wellness Committee to plan annual programming, monthly themes, and initiatives.
- Maintain the Wellness Community Page and prepare a quarterly employee wellness newsletter.
- Coordinate wellness sessions, including vendor collaboration, session schedule, corporate communications, and post-session feedback analysis.
Recognition & Rewards Program:
- Coordinate end-to-end delivery of Rewards & Recognition program in collaboration with HR Program Owner, Recognition & Rewards Committee, Payroll, Corporate Facilities, and Marketing.
- Maintain the Recognition & Rewards Committee Page to ensure all program information is up to date and accurate. This includes the creation of a quarterly newsletter.
- Administer the Spot Award approval process, ensuring nominations meet defined award criteria.
- Coordinate annual team award campaign and an annual celebratory reception for award winners.
Minimum Qualifications:
- Post-secondary education preferably in Human Resources and obtained (or working towards) HR Management Certification/CHRP
- Minimum of 1-3 years of relevant Human Resources experience
- Ability to interact with all levels of the organization
- Strong organizational skills with the ability to manage and prioritize multiple projects and tasks
- Strong MS Office skills (Excel, Word, Power Point, Outlook), working knowledge of HRIS systems (e.g. ADP Workforce Now)
- Attention to detail and ability to analyze data and provide reports
- Exceptional problem solving, interpersonal and communication skills
- Customer focused with an ability to foster positive relationships
- Demonstrated ability to handle sensitive and confidential information professionally

Salary Range
Pay Range (CAD $): 45,000 -57,000
The above reflects an industry-benchmarked target compensation range. The salary offered may vary based upon the candidate’s skills and experience, job-related knowledge, and other specific business needs.
