Reporting to the Manager, E-Billing, the Client Billing Services Coordinator plays a key role in supporting a range of billing responsibilities including the management of the centralized inbox, performing Aderant updates, and assisting with billing and e-billing during month-end. The Client incumbent will also assist with various Billing Compliance tasks such as matter access, obtaining purchase order numbers, budgets, accruals, and onboarding of new clients.

Major Responsibilities

  • Ensure accurate client accrual deadlines and requirements are captured in our Accounting System
  • Responsible for reviewing and submitting client accruals and estimates through email or the e-billing platform to meet client deadlines
  • Communicate effectively with clients and providing required tax forms and banking information to accurately onboard client details to our Accounting System and e-billing platforms
  • Liaisons with internal stakeholders and clients to obtain matter budgets and purchase order numbers and capturing the information in our Accounting System
  • Responsible for obtaining matter access to the clients’ e-bill platform to ensure a smooth billing experience
  • Oversee the team’s mailbox and redirect emails to the appropriate team members
  • Provide regular updates to the Manager, E-Billing to track progress in efforts and ensure all pending tasks are handled in a timely manner
  • Assistance with records management in Aderant for the Client Billing Services Team
  • Support billing & e-billing process improvements including implementing and testing of system enhancements
  • Draft and finalize bills for distribution to clients
  • Oversee and coordinate month-end billing efforts
  • Maintaining accurate client and matter information with regards to billing & e-billing
  • Tasks as assigned to provide back up and support for Client Billing Service Team members.

Position Requirements

Education and Experience

The position requires a College diploma or University Degree specializing in a business discipline, and a minimum of three years of relevant experience. Prior work experience in finance, billing, and/or project management function within the legal or professional services industry is preferred. An equivalent combination of education, training and experience may be acceptable.

Knowledge and Skills

  • Proficient in Microsoft Office Suite with a strong working knowledge of Excel
  • Highly analytical problem solver with a results-driven mindset
  • Very high attention to detail and accuracy with numbers, while maintaining efficiency
  • Ability to perform at high levels and able to navigate changing priorities and evolving work demands with flexibility and a positive approach
  • Experience with CMS/Aderant, Prebill Viewer, Ebilling platforms (e.g. Legal Tracker, TyMetrix, etc.), Ebilling Hub, and Power BI is considered an asset
  • Proven ability to work cross-functionally with Accounting, Finance and other business units
  • Attentive with strong interpersonal skills
  • Proactive approach to work, with a mindset of continuous innovation and improvements

We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
